Gift Processing Specialist

TERMS: Full Time, Exempt. Competitive compensation and benefits package. 

LOCATION: Boston, MA with the option to work remotely up to three days per week depending on work volume and flow. Currently, the role is completely remote during COVID-19. 

REPORTS TO: Director of Donor Impact 

PURPOSE: CATF is an innovative and growing organization with highly decentralized senior-level professional staff. CATF is global, our staff are located across the US and EU, we have a large network of international partners, and we receive funding for our work from a variety of sources around the world. Our expanding organization requires more support to ensure timely and accurate gift processing and acknowledgment to our donors. 

SKILLS: 

  • CRM Data and Gift Entry – experience with Salesforce Non-Profit Software (entry, reporting, data management) 
  • Familiarity with non-profit fundraising processes and procedures 
  • Fast learner, able to digest complex information and effectively communicate internally and externally 
  • Highly organized and detail-oriented, able to multi-task in a deadline-driven, fast-paced, large volume environment 
  • Independent task management and execution, but knows when to ask for guidance  
  • Requires proficiency in the use of Office 365/Microsoft suite of applications, Outlook, Word, Excel, PowerPoint, Teams, and online document sharing and calendaring. 
  • Entrepreneurial, Organized, Problem-solver, Detail-oriented, Conscientious, Strong-interpersonal skills, High-integrity 

EXPERIENCE: Bachelor’s or associate’s degree and/or 1-2 years relevant work/life experience preferred. 

CATF seeks a Gift Processing Specialist to support our growing organization. The Specialist will work closely with our development and finance teams to accurately record and acknowledge a wide variety and high volume of charitable contributions. The ideal candidate must have the initiative to move tasks forward independently, keeping track of external or self-imposed deadlines, clearly communicating needs or assignments to others, circling back with reminders, and engaging in closed-loop communications when a task is completed. The Specialist will thrive in a quick changing environment and adapt to evolving needs. They will possess a personal drive and desire to complete work in a thorough and precise manner with speed and efficiency.  

 The core responsibilities of this role are as follows: 

 Gift Entry and Database Management: Manage all gift processing and data entry (Salesforce) from a wide variety of contribution sources. Enter gifts both manually and using bulk entry processes that require data cleaning, depending on gift type. Lead database maintenance, auditing, and consolidation with finance. Interface with finance on payments, receipt notices, and regular revenue reports. Provide recurring reports, on status of gift entry, volume of gifts, giving trends, etc. 

Acknowledgment: Manage all receipt and acknowledgment processes. Alert internal stakeholders of incoming gifts based on pre-determined criteria. Adjust acknowledgments appropriately for gift type with consideration for in honor/memorial gifts, special tax circumstances, etc. Ensure all Salesforce entries reflect acknowledgment completion date. Lead on special mass mailings such as annual statements for tax purposes. 

Monitoring: Monitor giving@ inbox and provide timely response to donor inquires such reissuing receipts, bank info/payment instructions, carrying out refunds, managing recurring/website gifts, and other donor questions requests. Review daily donor comments on website gifts for special requests. Monitor failed payment alerts and respond to donors accordingly to request updated information.
