The British Embassy Dubai has a vacancy for a Deputy Consular Network Officer under the Middle East, North Africa, and South Asia (MENASA) Consular Network.
The jobholder will support the work of the MENASA Consular Network which offers services from 32 locations across the region. The jobholder will lead on administration of the MENASA Rapid Deployment Team (RDT), provide administrative support to the Consular Regional Director, administer regional activities and events, and oversee regional communications and management of SharePoint and MS Teams. The role reports to the Network Officer.
Duties and responsibilities:
- Coordinating MENASA RDT deployments during crises: liaising with Crisis Management Directorate (CMD) in London regarding deployments; maintaining RDT records, rosters; authorising and processing of RDT on call claims.
- Support to Consular Regional Director: travel bookings including visas, ad hoc support to CRD.
- Regional communications (internal): Act as MS Teams power user/ owner for the existing MENASA Consular Team and as SharePoint site super user. Schedule regional teleconferences and VTCs and take and circulate minutes. Produce MENASA bi-monthly newsletter.
- Network events: Procurement and reservation of venues, caterers, transportation, and logistics for participants, issuing of joining instructions, general communications, and purchasing.
- Act as Secretary to the MENASA Consular Board of Management (CBOM): Manage all logistics, obtaining quotes and booking of venue, recording of flights, issuing of joining instructions, budget management, minute taking, and all administration.
- Oversee the MENASA reward and recognition scheme.
The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy’s emergency planning and any other response to a crisis affecting UK citizens.

- Previous experience as an administrative assistant and/ or as a personal assistant/ executive assistant and/ or as a team coordinator
- Fluent in English, both verbal and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
- Excellent interpersonal and active listening skills, with the ability to cultivate and maintain a range of contacts at all levels. Able to communicate and facilitate both virtual and live (face to face) groups effectively.
- Ability to prioritise own workload and meet deadlines, without compromising the quality of the work.
- Excellent planning and organisational skills. Proven ability to work autonomously, support others and deliver results, including in a fast-paced and changing environment
- A strong team player and able to work collaboratively and effectively with contacts and colleagues.
- Demonstrates courtesy and consideration in dealing with all stakeholders. Able to show discretion in handling any sensitive matters, with the trust of all involved.
- Proficiency in Microsoft Office tools, particularly Excel and SharePoint.
- Ability and willingness to travel across the Gulf and Levant region.
- Familiarity with MS Teams.
- Knowledge and understanding of Consular work and public sector service delivery and values.

The Embassy aims to offer an attractive working environment and remuneration package for this role, including: 25 days of leave per annum; on-site swimming pool, gym, and sports facilities (subject to COVID-19 restrictions).
Salary is at AED 11,363 per month.
There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.
Conditioned working hours are 38 hours per week. Standard working hours are from 07:30 to 15:06, including a lunch break of 36 minutes, from Sunday to Thursday.
The jobholder will be required to be flexible in their approach to hours worked as these will be dictated by operational needs and may involve working out of hours (evenings/ weekends).
The jobholder must be available for occasional travel within the Gulf and Levant region (and possibly further afield) for training and logistical purposes, and must be able to secure visas for these regions. The jobholder must also be willing to be in-region and specifically within UAE when on call, as well as be on call over holiday periods such as Christmas, Easter, and Eid. A weekly on call allowance will be provided.
The successful candidate will be required to transfer their visa under the Embassy’s sponsorship.
