World Medical Mission serves as a lifeline to dozens of mission hospitals in the world’s least-developed countries, by providing millions of dollars’ worth of critically needed medical equipment and supplies. The Administrative Assistant position serves as primary administrative support to the management and staff of the World Medical Mission (WMM) Warehouse department and performs a variety of highly confidential and complex administrative duties to support the department’s goals and purpose.
ESSENTIAL DUTIES
- Maintains a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ.
- Provides general administrative support for the department such as answering phone inquiries, correspondence, making copies, and faxing as needed.
- Keeps team members apprised of all impending issues.
- Coordinates domestic and international shipments for the department.
- Serves as a Notary Public for the WMM Warehouse and maintains that certification.
- Maintains departmental related data including submitting monthly and quarterly reporting for the Warehouse Managers/team.
- Tracks budget data related to the department and submits reports as needed.
- Orders departmental supplies.
- Administer the departmental P-Cards and reporting.
- Processes departmental Gift-In-Kind donations though ministry software. This includes creating, posting and filing invoices; requesting and assigning account numbers; and requesting receipts.
- Performs all duties related to inventory tracking processes though ministry software, including posting of invoices, sales orders, and shipments and providing reports to leadership.
- Responsible for the application, submission, and tracking of departmental financial awards through the ministry Project Information and Request Forms (PIRF).
- Coordinates travel and other ministry reimbursements for departmental staff.
- Maintains coordination of filing system for assigned area.
KNOWLEDGE, SKILLS AND ABILITIES
- Highly effective communication skills
- Ability to operate efficiently and effectively in a fast-paced environment
- General knowledge of computer software, Microsoft Office Suite, Outlook, and desktop publishing
- Thorough knowledge of administrative support processes for management level staff
EDUCATION and/or EXPERIENCE
Associate’s degree (A.A.) or equivalent from two-year college or technical school and six (6) months to one (1) year related experience and/or training; or equivalent combination of education and experience.
