Job Summary/General Purpose of Job
Accountable for the efficient and effective operations of an assigned office function, including oversight and management of administrative and technological aspects of operational workflows, and provides principal support to department director with the management of strategic projects.
Principal Duties/Job Responsibilities
- Provides principal support with strategic projects that impact office-wide operations.
- Liaises with departments and entities to gather feedback on administrative and technological matters and other work-related needs.
- Identifies administrative and technological gaps in operational workflows and works with divisions and entities to implement solutions.
- Prepares communications and guidance that involves administrative and technological change management.
- Routinely handles confidential information on the entity’s operations, Member information, and/or personnel allocations/budgets.
- Monitors project statuses and provides senior leaders with updates, corrective actions which may be required, budget compliance, and, if applicable, monitoring of grant expenses.
- May function as a lead to other non-exempt employees in the department through the assignment of work, work status tracking, providing advice based on operational experience, and providing performance feedback to the appropriate supervisor.
- May routinely interact with Members of the Association and respond to routine inquiries, referring only complex matters to next-level issue resolvers.
- Capable of adapting quickly to new changes or circumstances; capable of managing stress; demonstrate commitment to servant leadership values.
- Performs other related duties as required.
- Possession of an Associate’s degree in business administration, or related field, or High School Diploma or GED, plus two years’ experience in a work-related role.
- At least three years’ experience providing administrative support in a business setting which must have included experience in workspace planning and change management.
- Able to multitask, prioritize, and manage time efficiently.
- Commitment to exceptional customer service; strong interpersonal and listening skills.
- Advanced verbal and written communication skills in English.
- Strong problem-solving and analytical skills; strong project management skills; superior attention to detail.
- Proficient in Microsoft Office 365 and Google Business tools.
- Proficient with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.
- Have reliable transportation to travel to off-site work locations.
- Must be insurable and have an acceptable driving record.
- Must have reliable home Internet and phone service.
- Possession of a bachelor’s degree from an accredited college or university in business administration, or another work-related field and four years in an administrative role.
- Previous experience managing office expansion projects, including involvement with office-related construction projects.
- Previous experience with implementing new technologies in the workplace.
- Previous experience functioning as a lead worker/supervisor of an administrative support staff.
- Prior volunteer, community, or work in a non-profit organization, especially in support of vulnerable or underprivileged populations.
