Main purpose of job:
Executive Assistant to the Consul General/Deputy Governor of Pitcairn Islands and Corporate Services Assistant to British Consulate General in Auckland. To provide quality organisational and administrative support.
Roles and responsibilities:
Executive Assistant:
- Arrange meetings, visits and engagements for the CG in Auckland, across NZ and with the Pitcairn network.
- Project based activity in support of CG.
- Manage the Consul General’s (CG) diary.
- Organise internal meetings; liaising with the British High Commission in Wellington, the Foreign Commonwealth and Development Office in London, the Pitcairn Islands and the Auckland based Pitcairn Island Office
- Support to Administrator on Pitcairn Island with transit visits through NZ and French Polynesia.
Corporate Services (CS):
- Ensure that the Consulate runs smoothly by application of professional administrative standards and early identification of office management issues affecting the building and staff.
- Liaise with service providers, the Corporate Services team in Wellington; the Facilities Management Office and building managers to ensure action is taken to resolve issues, tracking and monitoring progress.
- IT Support Officer.
- Ensure the FCDO’s health and safety standards are recognised and adhered to at the Consulate.
- Ensure Post security requirements are applied and maintained at the Consulate.
Finance:
- Manage Pitcairn Governor’s budget, profiling spend accordingly.
- Routinely review, profile and account for CG’s travel, business hospitality and representational spend within advised budgets and ensure Corporate Services Manager is kept updated with anticipated variances especially if any large payments are anticipated;
- Procure items for the Administrator of Pitcairn, liaising with the Pitcairn Island Office over expenditure made on the Island.
- Procurement of BCG Office stationary, supplies and goods.
- Ensure all procurement and associated processes are completed correctly and without delay.
- Oversight and responsible for the office petty cash
Correspondence/General:
- Manage incoming and outgoing mail.
- Manage correspondence (including telephone calls) from internal/external contacts and the general public.
- Meet and greet visitors.
- Supervise cleaner.
- Arrange video conferences and booking of conference room.
- Scan / photocopying documents.
- Manage logistics for visiting VIPs (i.e. visiting Ministers).
- Crisis Support.
- Support to Auckland Consular Corps.
Resources managed:
- Staff – N/A
- Monitoring and management of the Pitcairn Island budgets of approx £60,000 per annum.
- Management of the Consul General’s Representational, Business Hospitality and Travel expenditure within the limits set by the Corporate Service Manager.
- High quality professional Executive Assistant experience at a senior level.
- Office Management experience.
- Competent in oral and written English.
- Financial Management and budget monitoring skills.

Part time 32 hours per week. Days and hours as agreed with line manager.
Normal office hours are 8.45am am to 5.00pm. Your part time working pattern is negotiable with the Consul General and flexible working is encouraged. Some flexibility may be required to meet surges in workload.

Appointment is subject to a 90 day trial period and gaining and maintaining Posts security clearance requirements.
Open to New Zealand citizens, permanent residents, partners/dependents of UK-based diplomatic staff currently posted in New Zealand and holders of a current work permit.
