JOB BRIEF

The Senior Manager, Event Production is an essential member of the Event Production & Protocol (EPP) team, responsible for overseeing and leading the overall coordination and delivery of audiovisual, production, and technology services for high-profile internal and external meetings/events. This position is responsible for all event service and event technology operations and staff, including AV personnel and the Event Operations Manager. The Senior Manager also takes the lead in managing projects related to events generally and audiovisual systems specifically. This position is based in Washington, DC, and reports to the Director, Event Production & Protocol.

TARGET SALARY RANGE

Grade 13 – $103,000 – $107,000

The Institute uses the General Schedule salary tables for administering compensation. Contractor offers are determined based upon candidate qualifications, related experience, internal equity, and the amount budgeted for the position.

RESPONSIBILITIES

* Works with the Director, Event Production & Protocol to develop and implement the business plan and long-term strategies for event innovation.

* Serves as the Institute’s authority in all matters pertaining to technical hardware and software support for audiovisual presentations. Provides technical advice regarding capabilities and limitations of the hardware and equipment.

* Works closely with event stakeholders to discuss the implementation and technical direction of events and oversees the execution of event logistics for all events.

* Builds equipment orders, production timelines, and AV diagrams.

* Develops audiovisual support proposals for external events hosted at USIP.

* Oversees and leads the installation, operation, and breakdown of lighting, audio, and video systems. Ensures functionality of audiovisual equipment in all conference rooms and simultaneous interpretation booths.

* Manages event management projects, including developing project schedules and deliverables, monitoring budgets, conducting research, and issuing status reports.

* Manages multiple audiovisual enhancement projects, including identifying technical scope, developing project schedules and deliverables, monitoring budgets, and issuing status reports.

* Oversees all audiovisual repairs and preventative maintenance services, including managing service maintenance vendor contracts.

* Ensures furniture and equipment are maintained and inventory levels are kept in accordance with Institute guidelines.

* In collaboration with the Senior Facilities Manager, oversees the overall appearance and maintenance of event space, through conducting regular building walk-throughs, and provides direction to the Event Operations Manager.

* Supervises the audiovisual and event, production staff. Clearly and consistently communicates with team members to establish goals and evaluate progress.

* Takes initiative in resolving on-the-spot difficulties as they arise and keeps the Director informed of challenges and issues as they arise.

* Manages up to the Director, clearly communicating short-term and long-term department needs, concerns, and priorities.

* Maintains awareness of current trends in event management and event technologies and integrates them into the operation in a timely manner.

* Review effectiveness of event operations and makes appropriate adjustments.

* Coordinates with the Public Affairs and Communications team to support event media coverage with external media outlets.

* Cultivates and maintains relationships with an extensive variety of suppliers and industry service providers.

Performs other duties as assigned.

QUALIFICATIONS

* Bachelor’s degree in audiovisual technologies, audio or video production, broadcasting, or related field (or equivalent combination of education, training, and experience) required.

* Seven (7) or more years directly related experience planning, managing, and executing high-level corporate and social events, including experience supervising staff and vendors.

* Experience with audiovisual elements of event production required. Familiarity with product lines including Crestron, AMX, Extron, Polycom, Cisco, Linksys, etc.

* Ability to prioritize and organize production activities to use time and staffing resources effectively.

* Ability to easily understand and resolve technical problems related to integrated audiovisual systems.

* Strong organizational, administrative, and project management skills, including the ability to manage multiple priorities on deadline.

* Demonstrated leadership. Must have the ability to inspire and foster team commitment and trust, facilitate cooperation, and motivate team members to accomplish team goals and personal best.

* Outstanding customer service and problem-solving skills.

* Excellent written and verbal communication skills. Confident, articulate, and professional speaking abilities.

* Strong computer skills, including Microsoft Word, Excel, and PowerPoint.

* Budget management experience is strongly preferred.

* Excellent time management and troubleshooting skills.

* Keen attention to detail.

* Ability to multitask and manage multiple jobs at varying stages of production, pivoting quickly as priorities shift.

* Self-motivated team player with a high level of enthusiasm and a strong work ethic.

* Agile and able to maintain a positive and professional attitude in a fast-paced environment.

* Availability to periodically work flexible hours, including early morning, evening, and weekends.

* This position requires light physical effort, which may include occasional light lifting to a 10-pound limit, and some bending, stooping, or squatting.
