Main purpose of job:
As the Royal Air Force (RAF) Team Support Officer your role will be to assist both the Air and Space Attache and the Assistant Air and Space Attache maintaining a smoothly running department of the British Defence Staff United States (BDSUS). Principally this will involve diary management of the principles and organising meetings, travel, and budget oversight.
Roles and responsibilities / what will the jobholder are expected to achieve?
Conduct administrative day-to-day support for both the Air and Space Attache and the Assistant Air and Space Attache. This will include the following:
•Travel Bookings. Arrange accommodation, travel and transport, as required for the Principal and team members in support of team activities. Organise all travel using HRG Tool and local procedure to book internal and international travel. Ensure best value for money and efficient use of Principal’s time. Prepare travel and hospitality business cases, adhering to Government policy.
•Meetings. Support the RAF Team’s smooth management to include: supporting RAF Team meetings, booking rooms, including appropriate virtual meetings, MS Teams and Skype.
•Entertainment. Assisting in the organisation of the Principal and Team official functions, to include assisting in preparing business cases for official entertainment and functions, maintaining guest data, compiling guest lists, managing invitations, obtain industry sponsorship (working closely with the Defence Trade Team), and meeting/greeting guests. Maintain official hospitality book.
•Finance. Oversee RAF budget, and monitor, control and track authorised T&S and Official Hospitality expenditure. Report quarterly to the Assistant Air and Space Attache and to BDSUS Finance as directed.
•Data Management. Ensure that data is correctly stored on the MODNET computer system and controlled on SharePoint. This will include the appropriate handling of official sensitive and classified documents and e-mails in accordance with policy. Champion electronic ways of working amongst the team members.
•Engagement. Maintaining desk-level contacts in key Government Departments, Congressional, DoD, industry and foreign embassy offices to support our engagement activities.
Essential on arrival:
•Working knowledge of Microsoft Office Applications including Microsoft Outlook.
•Strong interpersonal skills, including the ability to be professional, confident, courteous, and to work with high performing individuals.
•Strong independent judgement with a proven ability to take on responsibility.
•Strong budget management skills.
•Proactive with the ability to multi-task with strong organisational and problem-solving skills.
•An ability to be discreet with the ability to handle sensitive material appropriately. Accordingly, the job holder must hold a valid British Passport and must be able to attain the required Security Clearance.

Desirable:
•Understanding of UK defence and UK government.
•Previous history of working in general administration duties.
