The British Embassy in Paris is part of a world-wide network, representing British political, economic and consular interests overseas. It is also part of the UK’s France Network (including offices in Lyon, Bordeaux and Marseille and representation to international organisations in Paris (OECD and UNESCO) and Strasbourg (CoE)) and is now looking for a Operational Services Officer for our UK Delegation in Strasbourg (UKDEL). 

This is a temporary job to cover parental leave. The role is to coordinate services within the UK Delegation (UKDEL) both in and outside the office.   

The selected candidate will be responsible for operational requirements of the estate. The officer would need to ensure that office spaces are functioning and supplies are restocked, inventory management and stocktaking, making small purchases and ordering office and Residential supplies. The role will involve office time (emails, inventories, paperwork, bookings) and out of the office organising events, the Residence and supplies.

Roles and responsibilities:

  • Ensuring the Delegation Office, Residence and Official residential properties are in satisfactory order by giving oversight of the maintenance works including health and safety issues.
  • Preparing for UK Delegation visits and events and providing assistance during events eg organising catering, food orders, setting up and clearing up after events. Arranging payment of caterers bills or other ad hoc purchases (and accounting for these on the online system).
  • Arranging regular servicing and maintenance of machines and equipment (including cutlery and tableware).
  • Assistance to the Ambassador’s PA on administrative procedures and Protocol.
  • Booking hotels and organising transport for events if needed.
  • Helping with daily security issues eg locking up, managing garage.
  • Organising mail and courier services.
  • Occasional driving of the official car and regular driving of the Delegation utility vehicle. Organising basic vehicle maintenance.

  • Fluent French and English (both written and spoken, C1 level for CEFR framework);
  • Experience/knowledge of administrative duties, managing an office;
  • Familiarity with IT tools such as Microsoft Word, Excel and Outlook;
  • A full driving licence valid in France (proof document will be requested).

  • Events management, purchasing experience;
  • Knowledge of the Council of Europe and/or working in a Delegation or Embassy.

This a full-time and parental leave cover contract until 8 March of 2022.
