Main purpose of job:
To assist the HR Team of the British Consulate in Rio de Janeiro and provide support to Corporate Services Team (Security and Transport, Estates and IT departments) to deliver a good level of service to internal and external clients.
Roles and responsibilities / what will the jobholder be expected to achieve?:
Provide general assistance to the sector team, which includes:
- Assist in planning and controlling staff leaves;
- Support the HR team by managing the employees’ timesheets and updating their monthly TOIL;
- Support the induction process of new employees by organizing documents and updating information on the presentation slides;
- Support the management of trainings and courses;
- Organize and update the documents of staff;
- Assist in the appraisals process and support the communication of the process;
- Support the recruitment and admission process;
- Assist in organizing events;
- Update databases;
- Make reports;
- Research for new suppliers, products or technical assistance for existing products;
- Liaise with suppliers and contractors, quoting and organizing maintenance works;
- Organize the transport booking;
- Support internal clients;
- Set up IT equipment such as VTC and computers when necessary;
- Book hotel and flights;
- Keep sector charts, texts and presentations updated with accurate information;
- Ad hoc duties as necessary (e.g. photocopies, escort visitors within the building, filing etc).
Have an education/degree ongoing (HR Management, Administration and Psychology are an advantage). He/she should possess an excellent command of written and spoken English and Portuguese with strong organisational, communication, proactiveness, customer service, team-working.
Language: English/Portuguese
Level of language required: Advanced/Fluent
Previous experience in working for a company or diplomatic mission is an advantage. Graduate in 2023 or later.
