IREX seeks a Program Associate for its Leadership Practice to provide support to the Community Solutions Program, a professional fellowship and leadership development program funded by the U.S. Department of State. Participants age 25-38 from 100 countries complete a four-month practicum and leadership development course in the United States before returning home to implement community development projects. The Program Associate will support all aspects of the program lifecycle.

Your Background & Skills- Required

  • Bachelor’s degree
  • At least six months of experience in an office setting performing administrative duties
  • Demonstrated commitment to international education or professional development programming
  • Excellent communication skills
  • Strong interpersonal skills and networking ability
  • High level of intercultural competence
  • Excellent attention to detail
  • Excellent organizational skills and ability to adhere to strict deadlines
  • Excellent computer skills, including basic proficiency in the full Microsoft Office Suite
  • You must have unrestricted authorization to work in the United States.

Your Background & Skills- Preferred

  • Experience advising international students, scholars, or fellows
  • Experience studying, working, or volunteering internationally or with an international organization
  • Experience coordinating events with 100 or more attendees
  • Experience facilitating workshops or speaking in front of large audiences
  • Experience using Outlook, Salesforce, Formstack, Power BI, InterviewStream, and formulas in Microsoft Excel
  • Familiarity with the culture and language of one or more countries eligible for the Community Solutions Program

Your Daily Tasks

  • Support the recruitment and selection of participants and practicum host organizations
  • Assist in matching participants with practicum host organizations
  • Coordinate event logistics and make travel bookings
  • Support participants through the pre-arrival administrative process
  • Advise fellows and partners, keep notes of all substantial communications, follow up with unresponsive fellows and partners as needed, and resolve or escalate any challenges in a timely manner
  • Maintain accurate and comprehensive records in Salesforce, Power BI, Formstack, and other platforms
  • Write sections of internal/external reports, presentations, and other products
  • Support the program’s communications initiatives by collecting and sharing notable quotes, stories, pictures, and data points
  • Advise program participants and liaise with host organization representatives and volunteers
  • Represent the program to external partners during phone calls and in-person meetings and events
  • Explore and build relationships with people and organizations that support the program goal of providing meaningful professional opportunities for participants
  • Facilitate portions of workshops or trainings
  • Assist in preparing communications materials and program reports
  • Manage program email inboxes
  • Engage and build relationships with partners and vendors
  • Contribute to proposal components as requested
  • With the supervision of project leadership and in compliance with U.S. government regulations and IREX policy, accurately perform financial administration tasks (credit card reconciliation, participant and partner reimbursements, stipend disbursements, procurement of goods and services, etc.)
  • Collaborate with team members and offer support
  • Contribute to a positive and inclusive team culture
  • Actively participate in IREX and Leadership Practice events, volunteering occasionally to participate on committees
