Main purpose of job:
The Store Supervisor is an important administrative role within the British High Commission, Islamabad.
We are having accommodation & furnishing items, home electronic appliance, HVAC/Power plants parts and construction materials at our stores. As a store supervisor, you will have to develop a comprehensive inventory tracking system and procedures to streamline our business. The main responsibilities of this position include meeting inventory goals, managing tracking systems and acting as a liaison to other departments. The successful candidate will offer recommendations to ensure ideal levels of inventory in the in stores. You will have to set reorder points to establish the stock level at which you need to order more inventory to prevent stock outs. You will have to perform regular audits for the inventory to control the inventory and to discover potential issues quicker or before they arise. You will have to arrange material inspection as per the specs and demands.
This is a customer facing role that involves regular demand of material from our UK staff, Technical Works Group and Accommodation & furnishing. You will have to supervise and do necessary arrangement for auctions. As a Store supervisor, you should have a solid technical background regarding material used in Power plant, HVAC system, electrical, mechanical and civil works combined with the knowledge of accommodation and furnishing items. You will be responsible for keeping the FCDO’s health & safety standard in all the stores.
You will be coordinating with our UK based officers and our technical works team to fulfill their demands without any delay. You will be in liaise with Deputy Head of Estates and procurement department to keep them updated regarding the inventory at each store.
You will work in the Technical Works Group (TWG) office of the British High Commission. TWG provides facilities management covering all domestic and commercial services the British High Commission. We are looking for a team player who is a confident, hardworking, honest having strong stores and inventory management skills. The successful applicant should also have office administrative skills.
Roles and responsibilities:
- Organise store – category wise.
- Maintain accurate catalogue numbering for all items.
- Maintain minimum/maximum stock levels (Safety Stock) for all categories.
- Accurately maintain stores database.
- Liaise with supervisors and sections for compiling demands.
- Supervise, arrange and record items for disposals/auctions.
- Do costing of issued material on daily basis and generate reports.
- Forecast demands for running items on the basis of previous trends.
- Design and implement an inventory tracking system to optimize inventory control procedures.
- Examine the levels of supplies and raw material to determine shortages.
- Document daily deliveries and shipments to update inventory.
- Prepare detailed reports on inventory operations, stock levels, and adjustments and submitting it to Deputy Head of estates.
- Perform daily analysis to predict potential inventory problems.
- Placing order for purchase of items to procurement department.
- Plan, implement and manage procedures to optimize inventory control.
- Define inventory KPIs and track them regularly.
- Oversee daily operations and identify bottlenecks.
- Suggest solutions for continuous improvements.
- Stay up to date with the latest technology and best practices.
- Keeping records of incoming and outgoing items, and maintaining accurate stock levels.
- Storing the various stock items in the most appropriate fashion, i.e. binning and/or racking them by the best methods and placing them in such a way that any item or material in the store can be located quickly and easily when it is required.
- Ensuring the safety of all items and material while in the stores area, i.e. protecting them from pilfering, theft, damage and deterioration.
- Ensuring, when necessary, that items issued from the stores are packed or packaged appropriately so that they will not be damaged or caused to deteriorate while in transit to their destinations.
- Ensuring the Quality Control procedure after receiving material from the vendors.
- Performing other duties as assigned by the Line manager.
Resources managed (staff and expenditure):
Possibly managing 1 X LE 4 and 2 X LE 5 store staff and 2 temporary staff.
Learning and Development opportunities:

- Bachelor’s degree preferably in science.
- 5 years’ experience in stores, inventory and operational procedures
- Solid knowledge of data analysis, inventory management software, and forecasting techniques
- Outstanding organizational and problem-solving skills
- Experience on Microsoft office with MS Access data base
- Valid driving licence
- Experience in office administration.
Language requirements:
Language: English, Urdu
Level of language required: Fluent in written and spoken
- Experience and certification in H&S of stores and warehousing
- Certification in Inventory management
- Knowledge of construction material used in construction of buildings
- Masters or 16 years of education in Supply chain/management sciences.

Salary Details:
For BHC candidates, the Country Based Staff BHC Terms & Conditions will apply. For other than BHC candidates the basic salary will be PKR 125,693 per month.
