MEETINGS SERVICES ASSISTANT


This position is located in the Security Council Subsidiary Organs Branch (SCSOB) of the Security Council Affairs Division (SCAD) of the Department of Political and Peacebuilding Affairs (DPPA) at Headquarters in New York. Under the overall supervision of the Chief of the Security Council Subsidiary Organs Branch (SCSOB), the Meetings Services Assistant will report to the Senior Secretary of the Security Council Sanctions Committees. SCSOB provides support to subsidiary bodies established by the Security Council, particularly sanctions committees and groups/panels of experts who assist them in overseeing sanctions regimes.

Responsibilities

Within delegated authority, the Meetings Services Assistant will be responsible for the following duties:

  • Prepares documentation for Committees, monitors deadlines related to the work of Committees.
  • Ensures that documents of Committees meet the UN document standards and coordinates with the documents control office for production and translation of documents.
  • Assists in the Committee decision-making process by distributing and collecting notes and incoming communications, and the preparation of outcome notes.
  • Undertakes research and provides reference materials for preparation of briefs, notes and statements for the Chair of Committees.
  • Maintains files (both paper and electronic) containing Committee records.
  • Carries out quality control functions for outgoing documents (proofread and edit documents for adherence to proper format, grammar, style and punctuation).
  • Submits various documents for translation.
  • Prepares the necessary groundwork for Committee meetings (e.g. reserves conference rooms, prepares agendas and relevant documentation).
  • Prepares monthly statistics related to the work of Committees.
  • Prepares various Committee communications including notes verbale, letters, Press Releases and other material concerning the proceeding of Committees
  • Drafts routine outgoing correspondence for signature.
  • Makes arrangements for and coordinate video and teleconference activities at headquarters.
  • Maintains filing and reference system (electronic and paper) of materials and incoming/outgoing correspondence for Committees and the Panel of Experts.
  • Responds to queries from delegations and other interlocutors.
  • Assist with room reservations and the electronic distribution of the daily programme of meetings.
  • Provides administrative support to Panel of Experts on an ad hoc basis.
  • Prepares travel authorization requests for Panel of Experts.
  • Performs other duties as required.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of five years of experience in conference support, administration, or related area is required.

Experience providing support services to the Security Council or its subsidiary organs is desirable.

Experience in organizing travel is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice
