Job Summary/General Purpose of Job

This individual will independently manage and plan complex conferences as guided by the strategic plan and as directed by the Committee Counsel/Director.  This includes hotel selection and vendor contract negotiations, development of budgets and project timelines, development of detailed game plans for event logistics, development of promotion and marketing plans, management of CLE accreditation process and all speaker and sponsor arrangements, as well as on-site management of the overall conference and its catered events.  Working with volunteers or program committees will be required to determine scheduling; space assignments and program content for each conference.  Travel is required.  This individual also will be responsible for the management of personnel assisting with the execution of the event and/or conference.

This individual will also be responsible for conducting and managing other programs and activities of a standing committee or commission. These duties will include budget development and management, provision of advice to and gathering of information from large external constituent groups, developing surveys and data collection instruments and procedures, receiving and managing large quantities of data about external constituent agencies, arranging production and publication of single title and periodical works, preparation of contracts for consultants and contract administration and member services.

 

Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)

Manage and plan complex conferences to include: site selection, contract negotiations, budget development and development of project timelines and event specifications. Manage logistics for complex events, to include scheduling and space assignments, group activities, catering and vendor communications.

Direct management of other staff, temporary workers and independent contractors in production of complex events.

Travel to, and independently manage conferences and events to include CLE accreditation process, speakers, on-site staff, and vendor communications.

Manage, coordinate and provide advice to members and external constituent groups in connection with events and other entity activities. Manage budget development and expenditures for standing committee/commission. Manage contracting with external consultants.

Design surveys for collecting quantitative and qualitative information from large external constituencies; administer survey distribution and collection; manage resulting data, including analysis for production of charts and publications.

Manage production and publication of single title and periodical works. Manage updating of web pages and posting of new web content. Manage list servs and distribution of e-publications.

Other duties as assigned, including management of committee/commission projects, scheduling of technical assistance to external constituents, responding to requests for substantive or logistical information about the topics within the committee/commission’s jurisdiction, etc.

Performs other related duties as required.

 

Required Education, Qualifications, Experience

Bachelor’s degree from four-year college or university or equivalent experience. 

3-6 years meeting planning and management experience. 

Strong written and oral communication skills.  

Proficiency in Microsoft Office software (Excel, Word, Access and PowerPoint).

Some marketing preferred.
