General Description of the Organization:
Orange is a non-governmental civil society organization devoted to alleviating the suffering and improving the sustainability mechanisms of conflict affected population.
Orange partners directly with affected Syrian populations delivering humanitarian and development programmes, Livelihood, Education, and Protection, to enable them to improve their living practices and their sustainability mechanisms.
Orange also collaborates with national and international non-governmental organizations, local initiatives responding to the humanitarian Syrian crisis with capacity development programmes, to be better equipped with the skills they need to prepare and respond to affected population’s needs and to ensure that these communities where we work in are ready for any future disasters.
Job purpose:
Assist HR Manager in daily activities (documentation, recruitment process and HR policy and HR system).
The HR Officer performs a wide range of duties including some of the following:
Duties, objectives, and competencies:
Recruitment
- Assist in recruitment process: advertising, receiving applications, short listing, scheduling and conduct interviews, check references, send jobs offers and appointing staff with all documentation.
- Prepare ATCs for all employees and keep updated database for ATCs
- Assist and Prepare orientation plan for all new staff with all documentation.
Contracts, Documentation & Records
- Under supervision of HR Manager, Review the staff database and HR files on a frequent basis, ensuring they are maintained to an exacting standard, kept up to date and audit issues addressed
- Ensure staff contracts are kept update and that all staff whose contracts are not going to be renewed are informed at least one month prior to the end of their current contract.
- Ensure all contract terminations are appropriately documented and all owed monies are paid to the departing staff member.
- Maintain leave plan for all staff.
- Ensure the proper and accurate tracking of all kind of leaves ( sick leave, vacations, business trip, …..)
- In consultation with line managers, ensure that there is cover for staff going on leave
- Keep paper and soft copies of all approved leave requests.
- Check and review all documents sent Syria office and other offices.
Payroll
- Prepare the timely and efficient payroll preparation for accurate data.
- Calculate the insurance and taxes for the employees and office according to Turkish tax law and insurance law.
Discipline
- Ensure staff members involved in a disciplinary action is aware of their rights and responsibilities under Orange policy and the labor laws
Training & Staff Development
- Under supervision of HR Manager, Support, monitor and liaise with all line managers to ensure appraisals are being conducted regularly and appropriately
- Ensure the training tracking sheet to monitor the training identified during appraisals and record all training completed.
Other
- Ensure all staff have a valid and current ID card
- Ensure all required memos are posted on the notice board then filed after two weeks.
- Any other duties as required.
Requirements:
- Bachelor’s degree in a related field
- Good experience in HR in NGOs.
- Strong computer skills in Microsoft packages, including Excel, Word, and Outlook.
- A flexible approach to work and willingness to take on extra duties.
- Trustworthy and honest
- Excellent client-facing and internal communication skills
- Diplomacy and negotiation skill.
- Ability to work with team
- High communications skills and deep knowledge of the Syria context.
- Very Good in English
