Background
UNICEF is deploying Vaccine Management Specialists (VMSs) to forty (40) low- and middle-income countries to support the surge in COVID-19 vaccine deployment and to contribute to strengthening in-country vaccine management. The VMSs will focus on strengthening end-to-end stock management, track COVID-19 and routine vaccine consumption, expand vaccine monitoring and accountability mechanisms, facilitate targeted EVM assessments and enable NLWGs/EOC to have access to regular, reliable and real-time data for evidence-based planning and decision making.
To support the coordination of these activities across regions and countries, a Stock Management Secretariat is being established. The Secretariat will coordinate the work of VMSs, build and maintain a resource portal of guidance, SOPs, trainings and tools on COVID-19 and RI and ensure timely collection and sharing of critical data on operational challenges in national supply chains.
The Admin Assistant will support the Stock Management Secretariat with day-to-day operations, schedule monthly and ad-hoc meetings, capture minutes and action points, track implementation of decisions, arrange workshops, assist with travel arrangements and visa assistance, track and follow-up BMZ stock management fund utilization and backup the team’s programme assistant on a case by case basis.
How can you make a difference?
The admin assistant will support the day-to-day operations of the Stock Management Secretariat, including but not limited to the following:
- Support the planning and scheduling of monthly coordination meetings.
- Capture, document and circulate meeting minutes and action points.
- Actively monitor BMZ stock management grant utilization and alert the secretariat on low utilization rates.
- Lead the preparation of workshops, including travel arrangements, visas, entitlements, and trip certifications.
- Back-up support to unit’s programme assistant on a case by case basis.
To qualify as an advocate for every child you will have…
(1) Education
- A Bachelor’s degree is required. A Master’s degree in Social Sciences, Business or Public Administration or related field will be an advantage.
2) Work experience and skills
- At least four years of relevant experience in administration or office management at mid-level general service
- Knowledge of UN procedures and previous experience in UN is an asset
- Experience with Word, Excel and PowerPoint
- Fluency in spoken and written English
- Proven ability to plan and prioritize effectively
- Capacity to work under pressure and with minimum supervision
- Ability to interact well with a wide range of people and work in a multi-cultural environment with sensitivity and respect for diversity
- Demonstrated ability to develop and maintain effective work relationships.
- Dynamic and proactive
- Acts as a team player and facilitates teamwork
- Demonstrates strong listening, oral and written expression skills
Requirements:
