The British Embassy Vienna is part of a global network, which represents UK political, economic and consular interests overseas. This is an exciting role working across all departments of the British Embassy in Vienna to deliver a smooth running platform as part of the Corporate Services team. The focus is on financial transactions, budgeting and administration and there is scope to make suggestions and be involved in other interesting activities in the Embassy. You will work with a small team who support and cover for each other across the full range of non-political activities, such as:

  • Administration of cost controlling program (Prism / Oracle based) to submit and track expenses and invoices;
  • Residual P2P processes, receiving, scanning and uploading invoices;
  • Budget amendment forecasts management;
  • Support work.

Roles and responsibilities:

  • Accounting ‘house keeping’ such as responding to invoices on hold and supplier maintenance issues;
  • Tracking and assisting best performance on Finance performance score;
  • Procurement processes, including supplier optimisation and set up;
  • VAT returns for petrol tax;
  • Accounts support to Finance Manager;
  • General administration and filing;
  • Budget amendment forecasts management;
  • Tracking financial indicators;
  • Payment of regular invoices such as mobile phone bills, school bills;
  • Desirably, the successful candidate will also be able to provide occasional translations mainly of letters from local authorities as well as some staff letters required in German for salary confirmation etc.;
  • Other duties as required including cover for other Corporate Services Officer.

  • Fluency in written and spoken English (C2 level according to the Common European Framework of Reference for Languages);
  • Excellent attention to detail and organisational skills;
  • Strong interpersonal and communication skills;
  • Ability to work independently as well as communicate with the team and a broader office platform;
  • Problem solving and ability to think through the next steps to make positive change;
  • IT proficiency and ability to work across multiple platforms and experience with an Oracle package or similar online database as well as Microsoft office programmes (word, excel, Power point);
  • Demonstrable analytical skills, the ability to make sense of complex information;
  • Resilience, and the ability to work under pressure;
  • Customer focused.

  • Experience in Payroll calculation will be highly valued;
  • Experience with VAT returns;
  • German language would be highly desirable.

This a full-time permanent position of 35 hours per week.

The monthly salary will be € 3,178 gross, payable 14 times a year. Please note that UK nationals will receive their salary net, minus the deduction of an equivalent level of Austrian (UK) tax retained at source. Further information on this will be given to candidates during the recruitment process. All other nationals will receive paid their salary minus social insurance deductions and are expected to comply with Austrian tax obligations through completion of a tax return to the Austrian authorities.

The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.

Staff recruited locally by the British Embassy are subject to terms and conditions service according to Austrian employment law.

Visa/Passport requirements: Candidates must currently hold the independent right to live and work in Austria and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary after 31st December 2020.
