Main purpose of job:

This is a unique position, which offers a fascinating opportunity to work at the heart of the UK-Colombia bilateral relationship, ensuring that Her Majesty’s Ambassador (HMA) and the Deputy Head of Mission (DHM) have the support they need to operate with maximum effectiveness.

The successful candidate will work in the Private Office team under the supervision of the Chief of Staff, supporting high-level meetings; helping to coordinate events at the residence; supporting HMA and VIP visits, and supporting drafting of correspondence.

The successful candidate will be proactive, tactful, and organised.

This role will help promote the UK as an excellent political and commercial partner for Colombia, working proactively to promote the British Embassy activities and initiatives across all policy areas. You will work closely with HMA, DHM, colleagues in the Embassy while having the opportunity to attend meetings and encounters with important stakeholders to the UK.  

Roles and responsibilities / what will the jobholder be expected to achieve?

Correspondence (30%)

  • Prepares drafts of correspondence for non-key stakeholders in coordination across teams.

Meetings support (20%)

  • Secretariat support with meetings.
  • Secretariat support in collecting action points and follow-up across teams.
  • Actively participate in meetings, and briefings of interest for the role and the post.

Support Private Office (35%)

  • Support the Chief of Staff and Executive Assistant with daily requests.
  • Books supporting services for HMA/DHM travel and visits (flights, hotels, venues, catering, translation).
  • Supports the collection of briefings for HMA/DHM travel.
  • Liaises and check availability of the residence for logistics for HMA/DHM and other section’s events. Updates residence planner.
  • Supports to the Residence Manager with menus/name plates/seating plans.

Other (15%)

  • Translates English-Spanish at HMA/DHM request.

  • Currently enrolled in the last semesters of university degree in International Relations, Political Science, Business Administration, Administration, International Business Administration, Modern Languages, and other related subjects.
  • Full-time availability.
  • Responsible, well organised and strongly committed to the job.
  • Sociable, able to interact and collaborate with different teams and requests.
  • Excellent team work and communications skills.
  • Works well under pressure and against deadlines, able to deal effectively with stressful and difficult situations.
  • Interest in UK.
  • Level of language required written and spoken: fluent in Spanish (native); fluent in English (at least C1 level).
  • Must have the legal status to live and work in Colombia. 

  • Good Knowledge of Microsoft Office 365 (Teams, Excel, Word, Power Point)
  • Knowledge of world national affairs.
  • Graphic design skills desirable.
