Administration Officer, PNG – Pacific Labour Facility

Project Overview and Role:
The Pacific Labour Facility (PLF) facilitates seasonal and longer-term work opportunities for Pacific workers in Australia. It connects Australian employers with Pacific workers, supports the administration of the Pacific Labour Scheme and provides targeted support to the Seasonal Worker Programme.
Primary Duties and Responsibilities:
This is a 12-month Fixed Term position. The Administration Officer will support the collection, storage, analysis and reporting of program data, including employer information, employee information and recruitment plan information for PNG monthly reports.
Under the direction of Labour Mobility Engagement Manager (LMEM) the Administration Officer will:
* Provide all round administrative support to the LMU team as required
* Be the first point of contact for visitors to the LMU office
* Assist with checking all mandatory visa lodgement paperwork and letters of offer are completed accurately as per PNG LMU process check sheets
* Book police checks and panel medicals as required
* Collate data from Provincial and District Administrators to ensure the master database is kept up to date
* Ensure accurate and efficient management of correspondence, invitations, files, records, databases of internal and external stakeholders and develop travel movement plans on request
* Assist with developing a system and processes for working through historical data, and enter this data into existing spreadsheets, databases
* Assist with all travel coordination for International and Domestic bookings
* Keep confidentiality of documents and candidates’ and approved employers’ information
* Maintain the integrity of data that contains Personally Identifiable Information
* Maintain the inventory of servers such as flash drives, storage disks and other data storage devices
* Promote compliance with legal standards and regulations
* Maintain hard and soft copies of program documents in compliance with DFAT Record Management policies.
Required Qualifications:
* Relevant Administration, or business-related qualification
* Experience working with databases, data procedures, and data administration
* Experience booking and managing travel is preferred but not mandatory
* Ability to scan large volumes of data in a short time frame
* Outstanding attention to detail and analytical thinking skills
* Relevant experience in data coordination or data handling
* Strong interpersonal skills, including in a cross-cultural context
* Ability to work autonomously or as part of a team
* Solution orientated
* Fluent in English (written and spoken).
This role may include some travel from time to time, however, not a mandatory part of the role so incumbent will have the right to decline.
