Summary of position:
Under the general supervision of the Administrative Assistant to the Canadian Defence Attaché, the Defence Program Assistant administers the military training and co-operation program and acts as a representative of the Defence Attaché from Canada; provides assistance with Defence Attaché invitations; prepares all complaints and performs general administration tasks. The scope of this duty requires that the Defence Program Assistant represents the Defence Attaché and the office by telephone and in person.

 

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Graduate diploma (French baccalaureate level + 3) or a post-secondary diploma in a Canadian institution with a specialization in a field related to the position *. Significant experience ** of at least 3 years in a field related to the position * could make up for the lack of the required diploma.

* The areas of administration and office work are areas related to the position.
** By ‘significant’ we mean at least three years of experience in an administrative position.

Language:

• Excellent * oral and written comprehension and expression in French and Arabic;
• Fluency ** of Tunisian Arabic. (oral and written) ;
• Good *** knowledge of English (oral and written).

*Being able to express oneself spontaneously, very fluently, in a precise way and to be able to distinguish fine nuances of meaning in relation to complex subjects.
** Being able to express oneself spontaneously and fluently without having to search for words too much.
*** Good being defined as being able to meet daily social demands, being able to confidently handle basic social interactions including basic presentations and conversations about daily events, work, as well as family, and being able to manage limited work responsibilities, but help is needed to deal with complications and difficulties.

Experience:

• Recent work experience * of three years working in an office, occupying an administrative role focused on following standard office procedures;
• Experience as an assistant for diplomats, government officials or senior officers;
• Professional experience in coordinating travel, logistics and social activities (hotel reservations, flight reservations, car rentals, receptions, official visits by dignitaries).
*Recent is defined as within the last eight (8) years.

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

• Knowledge of Microsoft series computer applications and Internet browsers;
• Knowledge of financial management;
• Knowledge of general office procedures such as document preparation/drafting and formatting, handling correspondence, letters, emails, budgeting and filing.

Abilities/Competencies:

• Ability to establish priorities, organize work and work both under pressure and independently;
• Ability to develop and maintain contacts;
• Effective interactive communication;
• Thoroughness and attention to detail;
• Adaptability and flexibility;

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.
• Fluent in English (oral and written);
• Knowledge of international work;
• Knowledge of the organizational structures of the Embassy of Canada and SAP.

 

Organizational Needs:

 

Operational Requirements:
• Availability to work occasional overtime with little notice, which may include weekends;
• Drive the service vehicle;
• Availability to travel within the country on short notice occasionally and / or to travel to Tunis or outside the region occasionally;
• Work schedule: 37.5 hours per week.

 

Condition(s) of Employment:
• The successful candidate must be eligible to work and live in Tunisia;
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization;
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter;
• Have a valid driver’s license;
• Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period.
