himaya is a specialized NGO in the child protection sector, working to prevent violence against children and offer the support needed for abused children on a psychosocial and legal level; eventually allowing them to be reintegrated as productive and active members of society.

Job Summary:

In charge of guiding and managing the overall provision of human resources services, policies and programs for the entire organization.

Main Tasks:

Recruitment:

§ Identify appropriate online and offline platforms (journal, Facebook, LinkedIn, universities, Hire Lebanese, internally) for posting job offers.

§ Screen CVs received and share with concerned managers

§ Identify potential candidates and conduct 1st interviews for admin positions at HQ level

§ Follow up with Technical Interviewers and Program and department managers/Units and Area Managers to ensure the 2nd and 3rd Interviews were conducted

§ Finalize and format job descriptions when needed in coordination with Programs/Departments managers and keep all job descriptions always updated, making sure that there are no duplication of tasks and that the indicators are well formulated.

§ Prepare Job offers as per the salary scale in coordination with the concerned managers

Induction & exit interviews:

§ Make sure that all documents for employee file are submitted and all necessary documents are signed including work contracts, job offers etc.

§ Ensure the proper induction for new admin staff recruited at himaya’s headquarter; Explain new recruits’ work conditions and diffuse policies and procedures.

§ Organize group induction sessions when needed

§ Fill and submit all NSSF documents to the NSSF representative

§ Fill and submit recruitment ministry of finance documents such as R3

§ Conduct Exit Interviews for team members who have resigned; Make sure their personal files were properly and officially closed and that they have signed all necessary documents.

§ Conduct an analysis of exit interviews and calculation of turn-over rate by the end of every year.

Employees training:

§ Prepare an annual training plan with concerned managers based on the needs identified in the PAs and the evaluation conducted by the M&E

§ Organize the annual trainings based on the pre-approved calendar

§ Follow-up on the implementation of the trainings

§ Evaluate the effectiveness of the trainings

Employees relations:

§ Follow up on disciplinary action request and notice letter, conduct investigation and take corrective actions when needed

§ Investigate all SEA and abuse cases as per the PSEA policy

§ Organize team activities and end of year gathering in coordination with the executive director.

§ Conduct floor meetings when needed.

§ Overlook employee’s satisfaction through annual survey and submit analysis to management with relevant opportunities for improvement

§ Handle employees’ complaints and intervene with the managers as needed

HR tasks:

§ Communicate relevant information to all team members

§ Draft innovative and creative HR policies and procedures when needed in coordination with the Quality Consultants (including staff care policies).

§ Make sure all regions are properly implementing himaya’s HR policies and procedures in coordination with Operational Director, Area Managers and Administrative Coordinators.

§ Make sure and monitor all paper work relevant to policies and procedures are being filed and are up to date always on himaya’s server (attendance sheets, needs assessment form, etc.) and disseminate it instantly to all relevant employees

§ Coordinate the staff performance evaluation process.

§ Prepare all PA templates as per the KPIs

§ Manage the ticketing process for himayans’ abroad trainings and Association Representation.

§ Ensure the coordination with universities for new interns

§ Ensure the recruitment and induction of volunteers

§ Ensure compliance with employment law and health and safety requirements.

Coordinate and follow up on cleaning activities and ensure that the premises at himaya’s headquarters is in good condition

Educational Background and Skills Required:

§ Bachelor’s degree in human resources. Masters is a plus

§ 7-10 years of relevant experience

§ Organized and meet deadline

§ Ability to work under pressure and challenging situations

§ Accountable and trustworthy

§ Strong personality

§ Interpersonal and communication skills

§ Fluent in Arabic and English with Basic knowledge in French

§ Knowledge of the Lebanese Labor Law
