Corporate Services Support
Main purpose of the role:
This is an exciting opportunity to join The British Consulate General Team in Miami. The successful candidate will form part of a three person Corporate Services Team. Corporate Services provides a platform of office support services to Her Majesty’s British Government staff working in Miami. The Corporate Services Assistant (CSA) will focus primarily on property management, health and safety, record keeping and compliance, and administrative tasks relating to office management. Occasionally the CSA will deputise for the Corporate Services Officer.
Roles and responsibilities / what will the jobholder be expected to achieve?:
Property Management
• Property Management duties for official Residence, office and residential accommodation.
• Complete and record compliance checks regarding Health and Safety
• Commit to improving sustainability across the office and residential accommodation
• Maintain inventories of all assets: Residence inventory, entertainment supplies, float, other residential furniture and stationery including the storerooms within the Consulate. Events
• Partner with the Executive Assistant to HMCG on event planning at official Residence or office.
Administrative
• Maintain and update directories and databases such as: Property databases, crisis data, and office administrative lists.
• Take records of Management meetings.
• Update and maintain various guidance.
• Work with Corporate Services Officer on vendor selection and contract management.
• Single point contact for office maintenance requests, cleaning contract, mail, and freight.
Crisis preparation
• Crisis/Emergency Management – participate in crisis training and exercising and be part of the Consulate-wide team response in the event of a crisis
Other
• Ad hoc duties as required
• Deputize for Corporate Services Officer
• Experience of working in an office environment
• Superior organisational skills
• Strong written and verbal communication skills
• Problem solve, and seek out answers proactively
• Ability to work collaboratively with internal and external stakeholders
• Ability to exercise sound judgement
• Flexibility in a team setting, with an enthusiastic approach to work
• Working knowledge of MS Office
• Property management experience
• Spanish speaker
