Main purpose of job:

Responsible for the input of all Supplier/Invoice details (personal and non commercial contract invoices) received by the Finance department. The Oracle Administration Officer is also responsible for accurate input of UK invoices.

Manage the compliance check for all claims submitted through the BDS-US Manual claim system in accordance with JSP 752 and the Civilian Policy Rules and Guidance.

Roles and responsibilities / what will the jobholder be expected to achieve?:

 Main Duties and Responsibilities:

  • Input payee information
  • Conduct quality control checks on data entered into the system.
  • Update local records to support payments made to FCO.
  • Validate invoices issued by FCO against local records and prepare the payment authorization form for all GBP payments.
  • Maintain record of all outstanding FCO invoices.
  • Working directly with various members of the FCO to follow up on payments and supporting documentation is essential.
  • Create Forecast of Outturn (FOO) Packs for monthly reviews.
  • Monthly finance admin tasks:
  • Rolling the FOO sheets (to next Accounting Period (AP)
  • Submitted output files (final positions at AP’s used to create the packs).
  • Electronic Purchasing Card (ePC) document collation and chasing of returns.
  • Investigation of UK payment issues.
  • Management of IY filing.
  • Management of Finance onboarding and process notes.
  • Undertake Adhoc duties as required by the Deputy Head of Finance

Essential Requirements:

  • Excellent IT skills in Microsft Excel and Word
  • 1 to 3 years administrative experience
  • Worked in an enviroment delivering excellence in customer service
