Economic and Prosperity
Main purpose of job
Support the British Embassy Santiago Prosperity Section and COP Climate Change Unit with events, finance, office management and policy assistance tasks as part of the UK Foreign Commonwealth and Development Office’s (FCDO’s) prosperity agenda in Chile. Assist with the delivery of British Embassy related activities and visits focused on key UK-Chile priority areas; economic affairs and trade, science and innovation, climate change and biodiversity.
Roles and responsibilities
Logistics, Visits and Event Management:
-Lead on the organisation of events (in-person and virtual). Assist Prosperity and COP Unit teams in the delivery of Embassy activities and visit programmes; sending and tracking invitations, issuing and managing virtual platforms; liaising with external suppliers, generating social media content, booking facilities and arranging meetings with local stakeholders.
-Provide ad-hoc support for wider Embassy events during peak times of activity.
Financial & Project Management:
-Manage purchase-to-pay processes for Prosperity and COP Unit; requesting requisitions, tracking and receipting invoices; liaising with project leads and implementers to ensure payments are on track, and with finance colleagues from the regional hub on procurement processes.
-Support Economic Diplomacy Programme Manager, Prosperity and COP Unit policy officers with monthly and quarterly financial reporting to London on programme fund budgets.
Office Management:
-Proactively act as information officer by organising key electronic files on Teams, compiling meeting minutes, assisting with drafting letters, Note Verbals and translations etc.
-Assist Section with organisational tasks; activity calendar updates, coordinating
documents for cross-team policy updates and contact database management.
Policy Assistance:
-Provide support to Embassy COVID-19 Taskforce; lead on gathering data and presenting statistics at weekly meetings; update and issue the Health Snapshot on weekly basis (or agreed periodicity) in collaboration with Head of Prosperity/Life Sciences Lead.
-Assist with fact finding research to support policy briefing notes for various projects; track and monitor UK-Chile Trade Dialogue deliverables in collaboration with cross-Embassy teams.
-Support the COP26 South America Regional Coordinator on conducting regional policy/political scoping work and organising network communications for the COP26 Regional Ambassador to Latin America and the Caribbean.
Corporate:
-Actively participate and provide support to one of the internal Embassy committees (Ex.Wellbeing, Diversity & Inclusion, Country Based Staff, Learning & Development, Management Board) that aim to promote FCDO values around respect, expertise, resilience, creatitvity, courage and public service.
Financial (payments, procurement & budget monitoring) and event/visit management experience. Strong time mangement and prioritisation skills as the role is split across Prosperity and the COP Unit teams (6 team members in total) the job holder needs to be able to anticipate their workload and anticipate and future spikes in work and how to deliver.
