Consular services provide support to British people abroad who need it, for example victims of crime, those in hospital or prison, those who are vulnerable, and those who are caught in a crisis.
There are over 130 staff in 30 locations providing consular services in the Asia Pacific region, through our network of Embassies and High Commissions. They are supported by a regional team based in Singapore.
The Support Officer works directly with the regional director and regional network coordinator in Singapore and provides essential support to help the successful delivery of these important services.
The main areas of responsibility are:
- Providing administrative and organisational support to the regional management team
- Planning, organising and managing in-person and virtual events, meetings and activities
- Managing regional management schemes, e.g. staff bonus scheme
- Producing and monitoring communications
- Managing and maintaining essential records
This role would suit someone with a high attention to detail, who enjoys planning and organising. You must have strong written communication skills, a proven record of administrative and organisational work, strong interpersonal skills, and be comfortable with ICT.
Administrative support for the regional management team:
- Provide administrative and logistical support for the Regional Director and management team, e.g. arranging travel and calendar management.
- Organise and provide administrative support for in-person and virtual regional management board meetings, including producing meeting agendas and meeting minutes.
- Manage the administration and budget of regional management schemes, e.g. staff bonus scheme and staff travel for temporary additional staff support.
Organising events and meetings:
- Planning and organising events, e.g. an annual conference for all staff in the region and virtual conferences.
- Manage an estimated annual events budget of £80,000.
Communications, Information and Administration management:
- Produce and communicate regional communications to staff.
- Receive and process communications.
- Monitor, engage and report on internal communication channels.
- Manage and maintain important records, information and archives, e.g. meeting minutes, contact information.
- Develop, communicate and support information management best practices, e.g. ensuring staff records are up-to-date.
In addition to the duties which this job normally entails, you may from time to time be required to undertake additional or other duties as necessary to meet the needs of the High Commission, including playing a part in the corporate life of the mission and supporting any crisis response.
Resources managed:
- Annual events budget, approximately £80,000.
- Regional management scheme budgets, approximately £40,000.

Due to the Government of Singapore’s measures to prevent the spread of Covid-19, including safe distancing and travel restrictions, we are only able to accept applications from those currently resident in Singapore.
The British High Commission has an active L&D Committee which works hard to provide a comprehensive L&D offer. There is a wide range of options available for personal development including training courses, coaching and mentoring, job-shadowing, presentations and learning sets. Staff have access to a wide variety of online resources through the International Academy and Civil Service Learning. Staff are strongly encouraged to take advantage of all available opportunities.
The job-holder will be required to take some specific training courses related to their role and is expected to be involved in Consular regional L&D opportunities. Some regional travel is available.
All new staff undertake a workplace induction and there are a number of mandatory e-learning courses covering areas such as diversity, health and safety, and information management.
Normal working hours are 37.5 per week: 8.30am to 5.00pm from Monday to Friday.
British High Commission Singapore supports and promotes flexible working as a crucial part of our inclusive offering. This particular role allows for flexibility in start and end times, working compressed hours, working remotely on one or a couple of days in a week, and the possibility of a job share arrangement, subject to agreement with management.
No accommodation or relocation expenses are payable in connection with this position. You must have or be able to obtain a local work permit.
Staff recruited locally by the British High Commission are subject to terms and conditions of service according to local Singapore employment law. Our local staff offer includes but is not limited to 23 days annual leave per calendar year, 14 public holidays (including both Singapore and UK public holidays) and 2 months’ AWS paid out in December.
