Who are we?
The British Embassy Vienna is part of a network, representing British political interests overseas. We are currently looking for a Executive Assistant to The British Ambassador to Austria to work within the team at the British Embassy.
Main purpose of job:
We are looking for a dynamic person with plenty of initiative to head up the Private Office team working to the British Ambassador to Austria. The successful candidate will lead on the smooth running of diary arrangements, meeting coordination, events and budgets. This is a key role in the Embassy overseeing the operational management of the Ambassador’s office and residence including coordination of high-profile events.
This is a responsible position, carrying out a range of secretarial and support duties as well as leading a team in support of Embassy objectives. The person should be well organised and have a strong customer focus.
The Ambassador has two roles, both bilaterally to Austria and as Head of the wider Vienna Tri-mission (the three UK Embassies co-located in Vienna). As the ‘gate keeper’ to the Ambassador you will have important relationships within the Tri-mission, other diplomatic missions and international organisations based in Vienna.
Main duties and responsibilities:
• Strategic forward planning: manage complex diary arrangements including high level meetings and invitations (incoming and outgoing); liaise with residence staff, drivers and colleagues on arrangements as required; circulate daily/weekly programme; organise travel/programmes; coordinate briefings from various departments for Ambassador’s meetings
• Line management: manage the Residence Manager (and thereby support her in the management of the wider Residence team) in support of the Ambassador’s objectives and responsibilities as listed above
• Event management: work closely with the Residence team and Events Manager on the full range of events hosted by the Ambassador
• Secretarial support: manage incoming emails/papers and telephone calls; draft routine correspondence; liaise with other diplomatic missions, international organisations and local authorities
• Liaison and coordination: with FCDO, other UK government departments and with key stakeholders, building load-bearing relationships
• Financial administration: monitor Ambassador’s budget; particularly for events and entertainment, administration of claims and credit card transactions

- Previous Personal Assistant experience in an international environment and/or in a similar role

This is a country based staff position at the British Embassy in Vienna; it is not a diplomatic designated position. The position is subject to the terms and conditions of British Embassy employees.
This is a full-time (35 hours per week) permanent contract.
Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked. The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys 14 Austrian / UK public holidays per year and we are committed to ensuring a work / life balance. Flexible working is supported, within operational constraints and in line with the flexible working policy.
The cost of the Vienna yearly transport ticket is reimbursed (prorated for months in the role), currently capped at 365 EUR.
There is also a performance related bonus system in place as part of the annual performance and development process.
The monthly salary will be € 5,073 gross, payable 14 times a year. You will receive your salary minus social insurance deductions and are expected to comply with Austrian tax obligations through completion of a tax return to the Austrian authorities. However, in some cases you will receive an abated salary where dual taxation agreements apply. Further information will be given at the recruitment stage.
The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.
Staff recruited locally by the British Embassy are subject to terms and conditions service according to Austrian employment law.
Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Austria and be prepared to ensure that right remains throughout the scope of the contract.
