The British Embassy in Lisbon is part of a worldwide network representing British political, economic, security and consular interests overseas. We are now seeking a top-quality Receptionist to provide professional front-of-house reception services for the Embassy.
The successful candidate will be in charge of prompt and courteous handling of telephone enquiries and some administrative support to the Estates function. They will also ensure a welcoming visitor experience, smooth day-to-day reception operations, and effective logging of estates requests.
Roles and Responsibilities:
Visitor Management:
- Greet and register visitors, verify identity, issue passes, and notify hosts; ensure compliance with security protocols.
- Provide advice to British nationals and other eligible members of the public when dealing with consular cases in line with consular services rules.
Switchboard & Inbox:
- Manage calls and general enquiries providing accurate and updated information to callers; triage and route messages promptly and accurately.
- Check British Embassy Inbox daily and distribute emails.
- Handle incoming/outgoing mail and courier shipments; maintain logs and ensure timely distribution.
- Any other tasks as required to support the Corporate Services team.
Meeting Support:
- Manage room bookings, set up meeting spaces (AV, layout, refreshments), maintain tidy reception and waiting areas.
Administrative:
- Reconcile taxi invoices monthly.
- Provide Estates support for admin tasks (data collection; contact suppliers; book visits; follow up on open works requests; manage estates mailbox/app requests).

Essential on arrival:
- Full professional proficiency in Portuguese and English (written and spoken, minimum of C1 level for CEFR*);
- Customer Service – Demonstrable experience in reception/front of house or client-facing roles; calm under pressure and solution oriented. Experience of handling difficult customers;
- Administration – Strong communication and organisational skills; able to manage multiple tasks, maintain accurate records, and meet deadlines;
- Ability to work effectively and supportively with colleagues and contacts in the immediate and wider team;
- IT Proficiency – Comfortable with MS Outlook, Word, Excel, Teams; able to learn facilities/other systems.

This is a fixed-term, full-time contract for 24 months (35 hours net per week), subject to a 30-day probation period.
The British Embassy in Lisbon aims to offer an attractive working environment and remuneration package for this role of €18,497.82 gross annual salary paid in fourteen instalments; plus a monthly meal allowance of €193.60. This salary is payable if the successful candidate is subject to individual income tax (IRS) in Portugal on the employment income in question. If the successful candidate is not subject to individual income tax (IRS) on their employment income in Portugal, and/or is not taxable elsewhere on such income, he/she will receive the above salary minus a reference amount approximate to the level of Portuguese tax that would be applicable if the income were subject to tax locally. Further information on this will be given to candidates during the recruitment process.
All staff recruited locally by the British Embassy in Portugal are subject to local Portuguese employment law as well as internal regulations in force at any given time.
The successful candidate will be subject to a professional background and security clearance and must have pre-existing work authorisation for Portugal in order to apply.

The Embassy will not consider applications from existing staff who have not successfully completed their probation period or, in the case of staff on temporary contract who have not yet completed two thirds of their contract.
