Main purpose of job:
The Residence and Events Manager main role is to ensure the effective management and presentation of the official residence in support of diplomatic and representational duties. The role oversees the planning and delivery of official events and functions at both the residence and office, ensuring they are conducted professionally and in line with protocol.
Roles and responsibilities :
Events Management & Catering (60%):
- Work with the Governor, Head of Governor’s Office, and the Governor’s Office team to develop and maintain a strategic, year-long calendar of events that supports and advances the policy objectives of the Governor’s Office.
- Organise menus, catering, set-up/breakdown, audio/visual equipment for all official functions. Receptions include lunches, dinners and large receptions such as King’s Birthday Party.
- Manage the residence staff, on-call staff, and support staff when delivering events.
- Work in collaboration with the CSM preparing robust forecasts for Catering and Entertainment and Maintenance.
- Prepare and maintain an inventory listing of drinks for official entertaining.
- Assess catering requirements based on event type, size and level of formality.
- Coordinate menus and service styles such as buffet, plated service, receptions or working lunches.
- Source, evaluate, and hire appropriate catering vendors for events of varying size and scale.
- Obtain and compare quotations to ensure value for money and quality standards.
- Conduct pre-event briefings with caterers and service staff.
- Organise the purchase of supplies for the office
- Ensure a good record of menus, guest lists, and expenditure is maintained.
Residence Management (25%)
- Manage and oversee the smooth running of the HoM residence, plan and execute the overall plan for management of the property and residence staff.
- Oversee the maintenance of the property and garden as well as the organisation and delivery of official events.
- Manage the Planned Preventative Maintenance programme for all properties with assistance from the maintenance officer.
- Maintain a Rolling Furniture Programme for office, residence and rental properties including furniture, furnishings and equipment.
- Monitor, record and oversee service requests from UKB staff on maintenance issues.
- Prepare and maintain an inventory listing for Post’s property held at all rental properties.
Team Support (15%)
- Support, when required, the Governor and Policy Team in the delivery of official visits, including scheduling, logistics coordination, site preparation, and stakeholder coordination.
- Participate as required in cross Governor’s Office activities including crisis and business continuity.
- Provide cover for the Accounting Officer during absences/leave.
