Main purpose of job:
Provide operational support across HR administration, payroll processing support, logistics coordination, event support, and health & safety functions. The role ensures accurate documentation, reliable service delivery, and smooth day‑to‑day operations. The postholder supports the DCSM People & Culture and ensures that strategic, advisory, and policy responsibilities.
Roles and responsibilities / what will the jobholder be expected to achieve:
HR Administration (25%)
- Support HR operational processes, including maintaining accurate employment records and documentation.
- Track contract expiries and escalate issues to line manager as needed.
- Maintain CBS employment records in People Connect and ensure updates are actioned promptly.
- Support wellbeing, mental health and staff engagement activities
Payroll & Benefits Support (20%)
- Prepare payroll inputs such as overtime, allowances, leave data, and contract changes for line manager review.
- Maintain accurate payroll files, ensuring changes are recorded and documentation is complete.
- Support benefits administration (e.g., medical insurance enrolment, updates, premium tracking).
- Coordinate with Finance Hub/HR Hub on missing data, discrepancies or document checks.
- Maintain audit‑ready payroll and benefits records in compliance with financial and data‑protection standards.
- Provide first‑line responses to staff payroll queries, escalating complex issues to line manager as required.
Logistics Coordination (15%)
- Coordinate daily logistics tasks across Corporate Services and maintain accurate tracking records.
- Support programme, event, and visit logistics as required by line manager/CSM.
- Maintain documentation and ensure operational processes meet audit requirements.
Recruitment & Onboarding Support (10%)
- Support recruitment logistics including placing adverts, collating applications, scheduling interviews, and panel coordination.
- Maintain onboarding packs, induction materials, and ensure new joiners’ administrative steps are completed.
Events Coordination (10%)
- Provide administrative and operational support for internal and external events.
- Assist with event logistics, suppliers, guest coordination, and venue arrangements.
- Provide on‑the‑day coordination support, including registration, room set‑up, materials distribution, troubleshooting, and liaising with security/reception as required.
- Support post-event wrap-up (invoice collation, feedback, attendance reporting, maintaining event files for audit/future planning).
Health & Safety Coordination (10%)
- Serve as secretariat to the H&S Committee, including agendas, documentation, and action tracking.
- Maintain up‑to‑date H&S records and follow up on actions with the Security Team.
- Support implementation of mandatory H&S training and induction.
Performance Management & Casework Support (5%)
- Support scheduling for CBS appraisals, calibration meetings and maintain performance documentation.
- Refer staff to line manager or HR Hub for advice on conduct, grievance, or disciplinary guidance.
Team Support & Crisis Management (5%)
- Provide operational support to the broader Corporate Services team.
- Support crisis preparation activities and take on designated crisis responsibilities.

Employment offers are subject to successful clearance of pre-employment checks. Staff recruited locally by the British Embassy Manila is subject to Terms and Conditions of Service according to local Philippine employment law.
