Main Purpose of Job:
The British Government’s Consulate in Chicago is offering an exciting opportunity to join the Press and Public Affairs team as the Marshall Scholarship Administrative Assistant. This is a meaningful role which supports and further develops the special relationship between the UK and the US – contributing to work shaping international diplomacy to make a real difference globally.

In this role, you will be part of a dynamic international environment spanning the British Government’s extensive network across the United States and the United Kingdom, which includes the Embassy in Washington, the UK Mission to the United Nations, multiple Consulates, and other Government Offices—comprising over 900 staff and supporting the work of approximately 30 UK government departments and agencies.
As the Marshall Scholarship Administrative Assistant in the Chicago region, you will contribute to strengthening UK-US collaboration in the areas of international higher educational exchange and people-to-people engagement. Positioned within the Press and Public Affairs team of the British Consulate, you will work closely with internal stakeholders such British Embassy colleagues, communications teams, senior leadership, and the Marshall Aid Commemoration Commission, as well as external partners such as university scholarship advisers, applicants, Selection and Reading Committee members, alumni, media representatives, and travel providers. This role supports the UK’s broader strategic objectives strengthening transatlantic relationships, investing in future leaders, and promoting long-term UK-US educational and cultural ties, while offering valuable experience in programme delivery, stakeholder engagement, communications, and international collaboration.
We’re looking for a highly organised, proactive, detail-oriented, and collaborative professional with experience in programme administration and stakeholder engagement. You’ll bring excellent written and verbal communication skills, strong organisational and prioritisation abilities, and the capacity to manage multiple competing deadlines in a fast-paced environment. A commitment to delivering exceptional customer service, maintaining accuracy, and supporting the success of the Marshall Scholarships programme is essential.

Roles and Responsibilities:
• Serve as the main contact point for enquiries about the Marshall Scholarships from potential applicants, scholarship advisors, committee members, press, etc.;
• Handle online applications received for the scholarship through the ASAMS online system, which includes organising and processing applications and distributing them to the Marshall Scholarship Reading and Selection Committees;
• Liaise with members of the Reading and Selection Committees on organising travel and providing administrative support when required;
• Attend the first Committee meeting in October that draws up the list of candidates selected for interview;
• Provide interview support such as organising travel for both interviewees and Selection Committee members, coordinate setup and candidate arrival logistics on the day;
• Contact the selected interviewees via the notifications on ASAMS, schedule interviews, and draw up and distribute the interview schedule;
• Collect and collate required information and documents ahead of interviews;
• Advise interviewees on travel and accommodation policy and process expense claims for interviewees and Committee members;
• Participate in the two days of the interviews in November (19th 20th) by welcoming interviewees, responding to enquiries, processing expenses claims through Diversity Travel, etc.;
• Attend the Committee meeting to determine the selected winners and reserves at the end of November;
• Prepare required documentation for winner announcement including the letters of congratulations, notification, and winner press release;
• Draw up a media contact list, liaise with local media to push for winner announcement in print and broadcast media, and draft press releases;

Core Hours/Hybrid Working
While many jobs in the US Network are able to offer flexibility in terms of working hours, core business hours are 09:30 to 15:00 (in the local time zone) Monday through Friday.
Employees will be expected to work from office full-time during the first 90 days of employment. After this time employees may work from home no more than 40% of the working week, subject to operational needs.

Role Specifics:
• Up to 20 hours of week over 14 weeks. Working hours to be agreed with manager.
• Manage ASAMS processes, organize, track, and compile applicant documents
• Provide 2 day interview support on 19th and 20th November- including setup, committee coordination, and candidate arrival logistics

Unique Tax Rules
Please note that the tax arrangements imposed by the US on staff working for foreign governments, as well as those imposed by the UK Treasury on British and dual nationals working for the UK Government overseas, are atypical. The UK Government cannot withhold taxes (including FICA) on behalf of a US taxpayer. Instead, a US taxpayer is required to file taxes as if they are self-employed, and a FICA allowance is granted for those required to pay the employer contribution. Certain categories of staff (for example dual UK-US nationals and some visa holders) who work at Consulates General are not subject to US taxes. For those not subject to US taxes the UK Government reduces gross pay to a level broadly equivalent to taxed net pay. There are also social security implications for dual UK-US nationals. Please keep all this in mind when looking at the salary and the benefits package.
