Admin Officer
The purpose of the Admin officer position is day to day implementation of the support functions responsibilities in Erbil, Country office
Generic responsibilities
- Adhere to NRC policies, tools, handbooks and guidelines
- Assist with the implementation of the admin function portfolio according to plan of action
- Prepare and develop status reports as required by management
- Ensure proper filing of Admin related documents
- Promote and share ideas for improvement of the administration function
Specific responsibilities
- Focal point for applying KRI residency/visas for international staff
- Responsible for issuing exit visas for international staff upon their departure
- Support country office staff with support letters (bank letters, Assayish, residency, etc)
- Arrange for staff and visitors, flight bookings, hotel and guesthouse accommodations and hospitality arrangements in country office.
- Preparing welcome package for new visitors (accommodation, SIM card and phone, etc)
- Ensure timely processing of, visas and other relevant permits for International staff and NRC visitors and maintain a follow up system for renewals.
- Receive and reconcile all flight and accommodation invoices and arrange for payments in coordination with finance.
- File administrative documents according to procedures and maintain stock of office supplies in Erbil office.
- Purchasing office stationery and office supply for guesthouses and office need like (furniture, Bed sheets, Gas, keys, SIM cards, and other purchasing…).
- Hotels reservation for training & Workshops & NRC events & meetings & conference.
- Ensure that Erbil country office and guesthouses are kept clean and provide supervisory to office cleaners
- Provide other support as requested by Senior Managers and Line Manager.
- Bachelor’s degree or equivalent and 3-5 years of experience in similar roles in an INGO/UN agency.
- Experience from working as admin Officer in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
- Keen sense of compliance with policy and procedure
- Strong organizational and team working skills
- Good cultural awareness and sensitivity
- Good computer application skills in Microsoft Excel, Word, PowerPoint, database and network communications.
