JOB SUMMARY
As a small but rapidly growing global health organization, we are looking for a Regional Finance and Operation Officer who will play a key role in assisting with preparation of field offices budgets, daily transactions reports ( bank and cash) across MedGlobal programs. Also s/he must ensure compliance with MG, audit and donor requirements. This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment.
KEY RESPONSIBILITIES
- Assist in the preparation of field offices budgets.
- Manage records and receipts across MedGlobal programs and ensure that all the documents are available online (Google drive and accounting system).
- Reconcile monthly and yearly fundraising, bank and cash transactions.
- Develop an in-depth knowledge of organizational products and process across MG programs.
- Examine financial data including that related to procurement, for accuracy and compliance with MedGlobal and donor policies and procedures and plan for and facilitate compliance checks and external and internal audits in collaboration with the Regional finance deck officer.
- Resolve financial disputes raised by the Headquarters and field teams
- Check and ensure that all monthly fundraising data, tax payments, statutory & regulatory
- deductions & other returns etc are accurate & complete as well as they are remitted in time.
- Review and track Cash Management issues for field offices.
- Ensure compliance with MedGlobal, audit and donor requirements
- Assist in ensuring Accounts Receivable are accurate and up to date
- Meet and/or conference with Field Finance Offices Staff on a monthly basis to review outstanding issues and concerns.
- Update and review all sub-grant monitoring reports on a monthly basis.
- Oversee and monitor MedGloabl registration process across all our programs.
- Working knowledge of payroll and benefits calculation and forms (W2& 1099).
- Manage, maintain & update Fixed Assets Inventory List across MedGlobal programs.
- Manage and perform other duties as assigned by the supervisor
REPORTING & AUDITING
- Ensure generation of timely reports for management use.
- Coordinate with other staff to compile donor reports and take subsequent corrective actions
- Helping fellow team members in submitting bills, invoices and other expenses in the system
- Review Budget versus Actual reports and provide feedback to Program manager-Field Offices
- Ensure generation of timely reports for management use.
- Review sub-grantee and sub-contractor reports and invoices.
- Work with the Field office on their daily transaction report and monthly reconciliations.
- Assist in the preparation of monthly, quarterly or annual reports to the Donors.
QUALIFICATIONS & REQUIREMENTS:
- Bachelor’s degree required, in the areas of finance, accounting, or business.
- Knowledge of full-cycle accounting
- Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently.
- Minimum of 5 years prior accounting experience with an international NGO ( Familiarity with the USAID, UN and Global fund)
- Excellent time management skills and resourcefulness with a very strict attention to detail.
- Excellent English written and oral communication skills
- Prior remote working experience.
- Excellent Knowledge of regulatory, contractual, legal, and financial compliance requirements associated with major institutional donors
- Excellent Knowledge of Excel and Google spreadsheets formulas highly desirable.
- Excellent knowledge of Microsoft Word, Excel and PowerPoint. Proficient use of QuickBooks or any other financial/accounting software.
