Job overview
Under overall supervision of the Finance Manager, the Project Reporting Assistant ensures timely and effective reporting and communication with donor/partners. S/He supports Finance Manager during the whole audit process and audit visits.
1. Tasks and responsibilities
Reporting tasks
- Supporting the preparation of monthly/quarterly/annual financial reports for donors/partners and its archiving in ELO,
- Preparation of supporting documents required for donor´s check (from ELO and/or from other archiving sources),
- Checking the archived supporting documents whether they follow the PIN archiving guidelines and the donors´ guidelines,
- Controlling the quality, completeness, and correctness of support documents received from partners/field staff for reporting purposes,
- Checking the partners´ reports and its correctness (based on PIN´s internal procedures and on donors´ guidelines),
- Supporting communication with donors/auditors/partners.
Programme support tasks
Supporting the Programme team during:
- programme monitoring and audits,
- donation overview,
- checking the archived programme documents and MoVs whether they follow the PIN archiving guidelines and the donors´ requierements.
Financial audit tasks
- Supporting the Finance manager during audits, spot checks, and donor checks to meet:
- The general requirements
- The ledger entries sample.
Other responsibilities
- Substitute colleagues during their absence (especially Archivist tasks),
- Member of Cash reconciliation committee,
- Building capacities of the field/project staff in archiving and administrative guidelines,
- Field visits.
The Employee is obliged to follow PIN Policies, National Staff Policy and Internal working rules, safety and security, fire safety regulations and other obligatory procedures and regulations related to his work.
The Employer reserves the right to assign the Employee any other kind of work derived from his specialization. In case of urgent work and suchlike, the Employee may be asked to work overtime as well as during public and other holidays with relevant compensation.
In case that larger number of different tasks is to be fulfilled by the Employee at the same time, the Employee shall accomplish the urgent and more important duties first.

Bachelor degree in Finance & Economics

Ability to use digital scanning devices;
