Job Summary/General Purpose of Job


The Administrative Assistant will work closely with MCLE Accreditation staff to support the day-to-day operations of a fast-paced, detail-oriented, customer service focused department.


Performs administrative and office support activities.  Responsibilities may include receiving, and handling telephone calls/e-mails, making travel and meeting arrangements, preparing reports and agenda materials, receiving and directing visitors, word processing, filing, and faxing.   


Extensive software skills are required, as well as Internet research abilities and strong communication skills.  Also calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal and external contacts.

 

Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)


Process high volume state applications and attendance reporting on a weekly basis


Maintain timely responses to high volume direct customer inquiries via email and phone


Maintain records according to state requirements


Compile basic operational reports, open purchase orders annually


Liaise with state accreditation agencies as needed


Oversees and coordinates administrative, program, and office activities.  Establishes, selects, implements, and coordinates office procedures and systems.


Exercises, on a continuous basis, administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.


Possesses extensive knowledge of software for example spreadsheets, relational databases, etc.  Possesses strong communication skills and interpersonal skills.


Point of first contact for department/entity.  Must maintain confidentiality and work well under pressure. 


Performs other related duties as required.

 

Required Education, Qualifications, Experience

Possession of a high school diploma or GED.

At least three years’ experience providing administrative support in a business setting. Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
Basic level skill in Microsoft Excel (for example: opening a workbook, inserting a row, selecting font style and size, formatting cells as currency, using copy, paste and save functions, aligning text, selecting cells, renaming a worksheet, inserting a column, selecting a chart style, inserting a worksheet, setting margins, selecting page orientation, using spell check and/or printing worksheets).


Must be able to multi-task. 


Must have fairly strong business writing skills.

Strong written and verbal skills

Ability to work in a team as well as work independently

Ability to complete assignments in a timely fashion


Additional education may be substituted for years of work experience.  

 

Preferred Education, Qualifications, Experience


Possession of an Associate’s Degree from an accredited college or university.

Prefer 2 years’ related administrative experience.
