Undertakes a range of field-related administrative functions pertaining to UNICEF fleet, insurance, property management, etc. Unit’s focal point for records management system. Provides logistical & administrative support to Field Services Unit. Performs other administrative duties as required. The incumbent will liaise with country offices and UNHQ to process insurance premiums and with
country offices for the purpose of updating premises and fleet information.

How can you make a difference?

Key functions of the position include:

Property Arrangements
1. Creates property asset records based on information received from UNICEF Field Offices.
2. Extracts premises’ related data from leases/MOU agreements pertinent to data within VISION. Regularly monitors related records in VISION. Identifies and investigates issues, takes corrective action as required.
3. Generates reports and provides advance notification to Operations/Admin. Officers on leases/ MOUs renewals.
4. Verification of rental advances requested by field offices; prepares related correspondence for Chief’s signature.
5. Provides technical assistance to COs on property and fleet data.
6. Produces timely and informative reports on a regular and ad hoc basis.
 
Property & Fleet Insurance
1. Responsible for administering the UN global third-party vehicle liability insurance programme and global property insurance through the UN Insurance Disbursement Service.
2. Manages related fleet information and data in VISION. Informs UN IDS on fleet number/properties by location to be covered under the global policy.
3. Provides breakdown of premium charges to Administrative Officer, Office of the Comptroller.
4. Maintains information on field office vehicle accidents or theft, and property claims. Liaises with EMOPS on the related data.
5. Provides information and clarification to COs on the global property policy and on fleet insurance
6. Follows up with COs/UN Insurance on insurance claims, PSB, if appropriate/applicable.
 
Administrative Duties
1. Undertakes research related to property compensation claims, and other areas; follow up as necessary.
2. Process and submit staff claims for compensation for loss of or damage to personal effects attributable to service to UN Claims Board.
3. Generates reports (i.e. organization of UNICEF) and other information as needed.
4. Drafts memos on a range of administrative matters for the signature of Supervisor/Administrative Specialist/Chief.
5. Tracks and maintains status reports on property and fleet projects.
6. Performs other duties for the unit as required.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of
    work.
  • A minimum of 6 years of relevant administrative or clerical work experience is required.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

  • Applicants are required to be nationals of the US or have a valid US visa and be able to work legally in the US.
