A day in the life of an Administrator Assistant, Facilities
At Samaritan’s Purse, the Gospel really is the center of all we do! We start each day with a time of devotions and prayer. We hear from members of our staff, both from IHQ and our global offices, as well a special guest speakers who encourage us in God’s word. We then join together to prayer for one another, as well as praying for staff and volunteers who serve around the globe. We get paid to start each day this way!
Job Duties
- Maintains a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ.
- Assists Administrative Coordinator with the administrative details of the department.
- Assists the department Managers, Coordinators, Supervisors, and Finance Budget Coordinator as needed.
- Coordinates the Director’s schedule and makes appointments, arranges meetings, prepares agendas, reserves and prepares facilities, and organizes visitor itineraries.
- Serves as point of contact for internal and external inquiries.
- Answers phones and proactively interacts with callers in a warm, professional, and positive manner. Fields general facility questions and takes requests for information. Determines caller needs and routes calls to appropriate person or department.
- Coordinates all travel arrangements and expense reimbursements for Facilities staff based in Ministry Centers.
- Organizes and maintains departmental files in electronic and hard copy.
- Maintains the electronic inventory of cubicle furniture. Orders parts as needed.
- Assists with Facilities Helpdesk (ManagerPlus and Work Flow Hub).
- Maintains Facilities department Ministry Site.
- Generates purchase requests.
- Procures Facilities staff clothing and supplies.
- Follows policies and procedures of Samaritan’s Purse as set forth in the Policy Manual.
- Attends daily morning devotions and participates in prayer support for the ministry, donors, and volunteers.

Qualifications & Experience
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations
- Ability to write reports, business correspondence, and procedure manuals
- Ability to effectively present information and respond to questions from groups of managers and the general public
- Strong organizational and communication skills
- Ability to work with mathematical concepts such as probability and statistical inference
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
- Thorough knowledge of Microsoft Excel and Word
