ABOUT DAG:
The Dialogue Advisory Group (DAG) is an independent organisation that facilitates political dialogue to reduce violence. We create or advance political dialogues between armed groups, governments, and international organisations in conflict situations. We have a small and dedicated team based in Amsterdam that frequently travels across the globe to our project locations. This includes 13 permanent staff and a variable number of consultants, as well as a flexible working model.
THE ROLE
We are looking for an Administrative Officer who can support us at our office in Amsterdam, the position will involve working remotely while current restrictions remain in place. In this small organisation you will have a diverse role where you take up office management, logistical, and financial administrative tasks. You are self-motivated, proactive, quick-thinking, flexible and able to juggle multiple and varied responsibilities with an unwavering attention to detail at all times.
WHAT WILL YOU BE DOING
• Process invoices and declarations;
• Optimize the debtor / creditor administration;
• Support day-to-day grant and financial administration for DAG’s projects;
• Work with project leaders to manage deliverables, monitor spending and request amendments where required;
• Support the preparation of accounts for auditing, financial budgets and reports, as necessary;
• Manage schedules, calendars, and appointments;
• Appointed person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
• Maintain and update DAG’s database of contacts and other IT systems;
• Manage office supplies and maintain the office common areas, office equipment as needed;
• Manage relationships with vendors and office building owners;
• Coordinate travel arrangements for the DAG team while ensuring a smooth-running and execution of events, meetings, and trips.
EXPERIENCE AND SKILLS
Experience
• Two to three years of relevant experience in a financial administrative field;
• Experience in facilitating the smooth running of an office;
• Good knowledge of Amsterdam event spaces, hotels and caterers is beneficial;
• Experience of working for a charity or non-profit organisation is beneficial;
• Experience in managing external suppliers including governmental and legal institutions.
Skills
• Top-notch communication skills, including the ability to communicate with people from a variety of cultural backgrounds;
• Excellent organisational skills and great attention to detail;
• Capacity to quickly understand and internalise the specific needs and sensitivities around DAG’s work;
• Excellent knowledge of Microsoft Office;
• Experience with Exact Online is beneficial but not essential;
• Fluent in the Dutch and English language.
