Summary of position:
The Common Services Program is responsible for the effective and efficient management and operations of the mission through the provision of high quality common services by providing services to the property business line that may include maintenance of the mission’s chanceries, official residences, staff quarters and other properties and their building systems. The Common Services Assistant is an administrative support position and the position typically reports to the Common Services Officer. Work is performed under general supervision.

 

Essential qualifications:
Essential qualifications
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.Education:
Associate’s degree from an accredited college;
OR completion of a certificate program for administrative assistants;
OR an acceptable combination of relevant experience, education, and training related to the duties and specific areas of competence required by the position.

Language:
Fluency in English (oral and written)

Experience:
– At least two (2) years of experience providing administrative support services to a diverse team in a professional office environment;
– Experience preparing financial documents for payment and tracking budgets;
– Experience providing advice and guidance to clients in a front-line client service role.

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
– Knowledge of general administrative principles, including, but not limited to, information management principles, office organizational procedures, generally accepted meeting, email & phone etiquette, etc.
– Knowledge of and proficiency in computer software and systems, including Microsoft Office Suite.
– Knowledge of budget management procedures.

Abilities/Competencies:
– Strong problem-solving skills;
– Effective time and priority management while maintaining attention to detail and quality of work;
– Ability to function independently and as part of a team;
– Strong orientation to detail and organizational skills; and
– Demonstrated basic mathematical skills with the ability to maintain spreadsheets and to work with established processes.

 

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

– The ability to work in French would be an asset, but not a necessity
– Experience using Government of Canada financial and HR systems such as SAP/IMS and ABRA

 

Organizational Needs:

 

Operational Requirements:
Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.5 hours per week. Current operational hours are 8:30-4:30 with an unpaid 30-minute lunch break from 12:00 to 12:30. The incumbent may be required to work overtime on an as-needed basis.

 

Condition(s) of Employment:

– Eligibility for a Government of Canada Reliability Status Security Clearance which includes a criminal and credit background check; and

– Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions. In this respect, applicants must confirm independent work authorization in the United States (e.g. US Citizen, U.S Legal Permanent Resident (LPR), or specific visa categories (e.g. dependents of Diplomatic and Official Visas holders)) as required by the Department of State for employment in a foreign mission.

Special Request from Mission/Additional Comments:

Due to the situation with COVID-19, many employees with the Consulate are currently teleworking. As the Consulate moves through its reopening phases, and based on the requirements of the position, the incumbent may be required to work on site at the Consulate. Once the Consulate returns to normal operations, the incumbent will be expected to work from the Consulate, as required.
