Level: Assistant Classification: LE-A2 Location: 42 Independence Avenue, Accra, Ghana Closing date for applications: 03-05-2021 at 23:59 UTC+1 / GMT+1 Summary of position: Under the general direction of the Common Services Property Manager, the Common Services Assistant is responsible for: • Managing, in collaboration with the Property Manager and Property Technical Officer, properties owned or rented by the Crown for the best value for money and good stewardship based on a life cycle management approach; • Coordinating and supervising the repair, minor renovation of, and alteration to all crown-owned and crown-leased properties; • Coordination and monitoring the cleaning of all crown-owned and crown-leased property upon posting of Canada-based staff; • Ensuring that the necessary custodial services for vacant accommodation are in place; • Coordinating procedure upon a change in occupancy to ensure accommodations are physically inspected by outgoing and incoming tenants and mission representatives, and that damages and/or deficiencies to property are reported to the appropriate delegated authority for appropriate remedial action to be taken; • Planning and administering activities related to the relocation of Canadian employees, including the repair of housing, supply and maintenance of furniture, equipment and appliances, etc.; • Gathering data for the development of the mission budget for the operation and maintenance of all crown held properties and assist day to day financial management of the property and common services budgets; • Planning, organization, controlling and implementing the purchase, maintenance, repair and replacement of materiel resources provided to the office and residential accommodation; • Coordinating and organizing the purchase and distribution of all office and residential supplies; • Establishing and maintaining contact with the local capital and construction industries; and • Performs other duties as required. Essential qualifications: Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications. Education: • Bachelor’s degree from a recognized university in construction / building management or facility management or business administration or any other discipline relevant to the position or equivalent combination of relevant education, training and experience. Language: • Proficiency in English (oral and written). Experience: • At least two (2) years of relevant experience in a similar administrative support position; • Experience in facility management; • Experience in procurement and contract management. Rated Requirements The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment. Knowledge: • Knowledge of general principles of facility management; • Knowledge of general principles of procurement, budgeting, forecasting and invoice processing; • Knowledge of Microsoft Office Suite (Word, Excel, Outlook). Abilities/Competencies: • Ability to work under pressure, adapting to changing priorities to meet deadlines and pay attention to detail; • Ability to purchase general and specialized equipment, materials or business services; • Effective interpersonal skills; • Integrity; • Judgement; • Team player; • Client service orientation; • Effective interactive communication (oral and written). Asset Qualifications: Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV. • Experience working in a diplomatic mission.
