Summary of position:
Working in the Common Services team of the Consulate General of Canada in Chicago, Illinois, under the general direction of the Head, Mission Operations, the incumbent is the focal point for providing a wide range of services, guidance and support to clients within the Consulate General. The incumbent leads on key responsibilities, such as property management, financial tracking, human resources, information management, and materiel management/procurement. The position is also responsible for the management of an assistant/s.

 

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education
Minimum of an Associate’s diploma in fields such as commerce, finance and business administration

Language
Fluency in English (oral and written)

Experience
•A minimum of four (4) years of recent and direct experience in office administration;
•Experience working with clients, stakeholders or community networks;
•Experience in managing client and stakeholder relationships and in providing client service support to customers/clients;
•Demonstrated experience in budget planning and forecasting using electronic tools (please specify);
•A minimum of 2 years experience supervising staff;
•Experience in providing advice, and written reports to management and/or clients on office administration issues.

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge
Knowledge of procedures and practices for providing common administrative services in areas such as business planning, organizational effectiveness, policy review and application, business communications, information management, and client service;
Knowledge of and proficiency in computer software and systems, including Microsoft Office Suite;
Knowledge of general human resources (HR) principles & practices;
Knowledge of financial practices and procedures.

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

Ability to communicate effectively in French both orally and in writing

Operational Requirements:
• Must be able to work overtime on short notice
• Must be available for occasional duties outside normal working hours (i.e., evenings and weekends);
• Hours of work: Normal hours of work for this position are in accordance with Locally-Engaged Staff regulations of 37.5 hours per week. The successful candidate must be willing to work evenings and overtime as required.

 

Condition(s) of Employment:
• Eligibility for a Government of Canada Reliability Status which includes a criminal andcredit background check; and
•Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions
