The Coordinator, Global Events, will report to the Manager of Global Events. The Coordinator will support the planning and implementation of CARE USA’s signature events, including in-person, virtual and hybrid formats. Event types include fundraising galas, donor events, conferences, meetings, livestream broadcasts and other engagements to increase brand awareness, visibility, advocacy and fundraising. The Coordinator will work closely with a variety of cross-functional partners: Policy and Advocacy, Fundraising, and Marketing to bring supporters closer to CARE’s work.

The position requires event and meeting experience specifically in the areas of event management and planning including registration, hotel, logistics, transportation, communications, travel, research, budgeting, event marketing and event technology.

The Global Events team is responsible for a variety of events with unique objectives and varying audiences to include: CARE’s National Conference, CARE Impact Awards, CARE Speakers Series and events associated with tentpole moments and signature events designed for donors and CARE’s supporters. These events will transform and bolster CARE’s supporter engagement and marketing strategies and help position CARE as the leading poverty-fighting nonprofit for women and girls in the public eye. The team is critical in bringing in new leads for the organization.

High level buckets of responsibilities include: event logistics, technology and production, event marketing, and administrative.

The ideal candidate will have 1-3 years of event/meeting planning experience working on a variety of types of events. This position requires flexibility, relationship-building skills, project management, communication and client-facing skills. The ideal candidate will be able to think on their feet and use their passion to improvise creative solutions. Must be self-motivated, thrive under pressure, and work well in a fast-paced environment. Desired skills include: Salesforce Marketing Cloud, Eventbrite, Zoom, strong PowerPoint, Excel and Word skills.

Responsibilities:

  • Logistics – Support the planning and implementation of event logistics for signature events including venue, food and beverage, transportation, travel, registration, swag inventory and shipping. Support on event-related VIP, celebrity and speaker logistics and needs.
  • Technology & Production – Support event technology implementation including conducting event platform research and development, developing a technical plan that ensures seamless integration with CARE’s current systems (website, social streaming destinations, salesforce/marketing cloud) and managing registration. Serve as live production support and technician during CARE’s livestreamed events. Includes running critical internal and external zoom webinars, managing livestream broadcasts to CARE’s social media, participating in technical rehearsals and speaker rehearsals, advising, training and supporting other departments on how to produce virtual events (innovation, advocacy, celeb engagement, etc), and troubleshooting when issues arise.
  • Marketing events – Marketing: Support events team by creating high quality powerpoints and other internal communications. Contribute ideas and tactics for the event marketing plan and recommend audience build strategies. Support efforts to sell out events. Support lead generation. email communications, and registration.
  • Administrative and research – Administrative and research: Includes processing and reconciling event expenses. Be the back-up lead on CARE Brand Support when the Brand Support Project Manager is absent. Act as lead for correspondence on events inboxes. Run registration reports for partners as requested.

Qualifications:

  • Bachelor’s Degree , must have excellent interpersonal, organizational and client management skills
  • 1-3 years of experience in an event/meeting planning role working on a variety of types (e.g., fundraising events/galas with donors and sponsors, outdoor events, conferences, tradeshows, meetings, etc.)
  • Demonstrated ability to work with flexibility, efficiency individually and as part of a team
  • Experience with virtual event platforms, broad knowledge of event technology platforms. Experience with project management software tools
  • Must have excellent written and oral communication skills, in positions requiring diplomacy in communicating with a broad and diverse audience
  • Must be able to work within a budget and timeline
  • Energetic, innovative, creative self-starter, problem solver and results-oriented individual
