This role manages administrative duties for the US office, as well as provide support on various projects and activities involving fundraising, events planning, and communications.

**Key Performance Areas:
Administrative **

  • Schedule meetings for m2m leadership and US Team, including liaising with colleagues across time zones, with senior leaders and other working groups

  • Manage subscriptions, office services and North America team logistics including North America Office moving and storage, and managing LA Office logistics and vendors

  • Take meeting minutes and disseminate notes to attendees within 24- 48 hours of meeting

  • Facilitating purchase requisitions for North America team

  • Lead IT troubleshooting for North America team

  • Lead organization of shared files (Sharepoint) for m2m US

Database and knowledge management

  • Act as m2mUS Salesforce super-user champion, taking initiative to pursue training and
  • Work with Salesforce Administrator and Finance Officer to improve time-wise use and adoption of Salesforce functions in US and across Global Resource Mobilization teams
  • Lead on Salesforce reports and requests, including generating prospect lists, donor lists for events, and the annual report
  • Create Salesforce opportunities after bank deposits are made
  • Work with Development Director and Head Office on US team knowledge management on Sharepoint and Salesforce, ensuring that most accurate and updated materials are easily accessible, including consistent clean-up and version control
  • Maintain key resources for front-line fundraisers, including earned media, one-pagers, and email templates

Development support

  • Support on research and maintenance of records for Philanthropy revenue stream: individual major donors, Global Giving Circle, Patrons, Ambassadors, and related prospects
  • Prepare materials for the Board, and Corporate Advisory Development Committee, including research, meeting materials, scheduling meetings, travel logistics,
  • Maintain list of conferences and forums that align with m2m organizational priorities and themes, including location, cost, record of m2m staff attendance, and conduct research in advance of conferences
  • Ensure compliance, updated profiles, and successful completion of annual reviews for BBB, Guidestar, and Charity Navigator, and other charity watchdogs
  • Ensure updated profiles and publish new content on third-party platforms, including but not limited to Benevity, Your Cause, Just Giving, BrightFunds, PayPal Giving Fund, aligned with m2m campaigns, themes, funding priorities or donor initiatives (per direction of Development Director)
  • Create Salesforce opportunities and tax acknowledgment letters, working with Finance Officer to ensure smooth donation processing and record keeping
  • Under direction of Development Director, revise acknowledgement process, and ensure team-wide adaptation and effectiveness of acknowledgement process including:

  • Automated tax receipts with completion of donation on website

  • Write clear policy and “business rules” for acknowledgement (in line with broader donor benefits, as advised by Development Director and North America Director)

  • Regular updating of acknowledgement template

  • Streamline process for individually managed tax receipts

  • Under direction of Development Director and Development Manager, integrate acknowledgement emails with supporter journey

Campaigns & Events

  • Lead on campaign project management, ensuring completion of deadlines by multiple departments, recording notes and disseminating to working groups
  • Conduct campaign analyses, including working with Finance Officer on financial reporting, extrapolating data from Salesforce to look at donation trends and KPIs, pulling together in a reader-friendly and presentation-friendly format
  • Event project management, managing RSVPs, event logistics (virtual and in person for all North America events)
  • Manage printing needs and mailings throughout the year including solicitations, cultivations, and other special mailings, including myEmma mailings as needed (this last piece will be taken over by the Development & Marketing Manager when they join)
  • Create and update donor info packets for donor meetings for all North America team members

Qualifications and Experience:

  • Bachelor’s Degree
  • One year’s relevant work experience
  • Mac and PC proficient
  • Excellent knowledge of Microsoft Office Programs, including the use of Microsoft Office, Outlook, Skype, Teams, Sharepoint; and Zoom or other web conferencing systems
  • Knowledge of an email management system like MyEmma, and Salesforce or other donor databases a plus
  • Knowledge of Photoshop or other design software a plus
