Position description

The position is responsible for the day-to-day operation and advising of the education abroad program within the International Affairs office. The position will assist all UCCS students interested in education abroad and will provide information in a variety of formats (one-on-one meetings, classroom presentations, coordination of fairs, etc.) on education abroad program options, visa process, travel orientation, vaccination requirements, travel preparation, insurance, course transfer process, and funding options. The position also helps support faculty in developing and implementing short term abroad experiences, including risk management. Also, this position will involve maintenance of the website, education abroad software/application portal, and social media, program and documentation updating, liaising with university and external stakeholders, creating and facilitating programming for education abroad, and participation reporting. This position reports directly to the Director of International Affairs.

The successful candidate will be independent, self-motivated, and an exceptional multi-tasker. They should also be familiar with all aspects of education abroad management and advising and comfortable with multi-tasking and balancing multiple priorities and deadlines.

Job Duties:

  • Responsible for day-to-day education abroad functions and serves as the primary advisor for education abroad.
  • Responsible for assisting with faculty-led programs including conducting workshops and orientation for faculty and students.
  • Schedules and conducts pre-departure and returnee workshops and orientations for participants.
  • Responsible for application management for education abroad participants via office software (Terra Dotta) and reporting on students going abroad to designated risk manager(s) on campus.
  • Assists with maintaining and updating the International Affairs website.
  • Assists in advising for education abroad scholarship resources/sources.
  • Promotes education abroad on-campus through education abroad events, resource fairs, social media, and classroom presentations.
  • Creates promotional flyers and social media designs on a regular basis.
  • Serves as a liaison to affiliated education abroad partners on and off campus.
  • Produces reports on education abroad activities and outward-bound student mobility inclusive of student data for risk management.
  • Mentors education abroad student assistants and volunteers.
  • Ensures activities are in compliance with the industry’s concepts, practices, and procedures and keeps abreast of best practices and trends in education abroad.
  • Processes transcripts for returnees.
  • Serves as back-up Alternate Responsible Officer (ARO) and back-up Designated School Officer (DSO) for the office.
  • Implements strategic planning for International Affairs as it relates to the education abroad unit.
  • Other duties and projects assigned.

Qualifications

  • Significant computer skills and software program knowledge including Terra Dotta software and/or related.
  • Database management and application management experience.
  • Ability to multi-task, meet deadlines, and work independently as well as as part of a team.
  • Process information with high levels of accuracy and attention to detail and quality control.
  • Effective communication skills with people from a wide range of cultures and backgrounds.
  • Customer service concepts and techniques to meet or exceed customer need and expectations.
  • Maintain records and retrieve files from active or archive sources.
  • Knowledge of higher education administrative practices and procedures, student records, and international education systems.
  • The value of self-motivation and initiative to seek out work and drive to accomplish goals.
  • Use of office support desktop tools (Word, email, PowerPoint, Excel, and Terra Dotta or related).
  • Familiarity with social media platforms as well as tools for scheduling posts in advance.

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

What We Offer:

Salary Range: Generally starting at $38,509 – $49,689

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
