Summary of position:
Under the general supervision of the Foreign Policy and Diplomacy Services (FPDS) Consul, the Program Assistant supports the whole FPDS team by:
• Providing administrative support, including planning, organizing and providing logistical, budgetary and administrative support for travel, meetings, incoming delegations, conferences, receptions, and other events;
• Maintaining efficient office filing systems and an inventory of relevant reference materials and key contacts;
• Assisting with developing, disseminating and responding to social media content;
• Other duties as required.

The FPDS Program Assistant will work closely with the FPDS, Consular and International Business Development (IBD) teams at the Consulate, the Canadian network of Consulates in the United States, relevant Government of Canada and provincial/territorial departments and agencies to coordinate activities and initiatives. The candidate will demonstrate a strong ability to think innovatively around program delivery, plan effectively in a highly demanding environment, develop and engage a network of external partners, work independently in a proactive, accountable manner and communicate effectively in both official languages, including via social media.

 

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their covering letter (750 words maximum) how they meet the criteria in the essential qualifications and the asset qualifications, if applicable. Education
A degree or diploma from an accredited university or college, or an acceptable combination of relevant experience, education and training.

Language
Good working ability in English and French (oral and written).

Experience
•Experience in office management including providing administrative support;
•Experience in financial administration, such as tracking budgets and preparing expense and hospitality/travel claims;
•Experience in records / information management;
•Extensive experience using Microsoft Office suite software, (e.g., Word, Excel, Outlook, PowerPoint) and with social media platforms including Facebook, twitter and Instagram; and,
•Experience organizing visits and events.

Rated Requirements

The Rated Requirements relating to knowledge, abilities and competencies will be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge
Knowledge and proficiency in computer software, including Microsoft Office Suite and social media platforms.

•Ability to communicate effectively orally and in writing in English and French;
•Ability to assess and evaluate budgetary and other information effectively;
•Ability to plan, prioritize, organize and complete work, with attention to accuracy, details and deadlines;

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV.

•Prior work experience within a diplomatic or international environment; and
•Knowledge of the basic structure of the Canadian Government, including the mandate of Global Affairs Canada.

Condition(s) of Employment:
•Eligibility for Government of Canada Reliability Status which includes a criminal and a credit background check;
•Independent work authorization in the United States in accordance with U.S. protocol directives for foreign missions; and
•Provide a local address as proof of residence in the area of selection.

 

Area of selection:
Open to Locally Engaged Staff (LES) who meet all the following criteria: Employed at any mission in the US network (relocation will not be paid in any circumstance); Indeterminate and specified period (term) LES are eligible to apply for a transfer (based on employment authorization and not on position funding); and LES within the same occupational group (in this case, LE-05 to LE-05). However, LES at different classification levels are not eligible for transfer. Also, emergency employees are not eligible.
