Position Summary.
Relief International (RI) is seeking for a motivated person to support across RI Turkey Country Program Grants and Partnership Department. Grants and Reporting Officer will ensure quality and timely management of donor and internal reports, support grant opening / close out processes, support partnership component, in addition to collaborating with program team on program development activities. This position reports to the Grants and Partnership Manager with a technical line to Deputy Country Director (DCD).
ESSENTIAL RESPONSIBILITIES AND DUTIES
Grants and Partnership Management
- Support the Grants and Partnership Department to organize grants review meetings; including, kick-off and close out meetings.
- Maintain a grants filing system for all grants, including agreements, proposals, revisions, reports, etc.
- Maintain a grants tracking system and share updates with relevant departments as necessary
- Coordinate with programs and technical teams to ensure deliverables, milestones, and reports are completed in a timely manner.
- Draft sub grants documents including modifications, grant agreements, selection memos and other related correspondences.
- Update the awards tracker on a monthly basis. Carry out pre-award assessments of potential new sub grants
- Maintain the sub awards organizational capacity assessments and act as focal point for following up with support departments on work planning
- Support in facilitating the necessary audits and collaborate with the grants manager on audit ready exercises
- Coordinate with the finance team and other relevant departments in Gaziantep Country Office regarding grants and contracts
- Support the line manager on partners contract issues as well as technical content
- Assist line manager to design and implementation of training units for partners
Program Development and research:
- Support the DCD programs and grant department in the development and drafting of concept notes, full proposals, modification requests, and supporting documents according to the program management tool.
- Coordinate with technical departments, as requested, on the drafting and finalization of various technical assessments in mental health, physical rehabilitation and livelihoods
Reporting:
- Support the grant department to produce high-quality program progress reports as per donors and RI requirements;
- Compile monthly, quarterly and annual donor reports
Communication and information management:
- Support the grants manager and DCD programs in the development of communications materials – such as program briefs, presentations, human interest stories etc.
- Review communication and visibility plans and follow up with relevant staff on progress.
- Oversee the work from communications consultants, as needed, and support finalizing the deliverables
Safeguarding:
- Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve.
- Consistent with RI’s safeguarding and protection policies, ensure all people who come into contact with Relief International are as safe as possible.
QUALIFICATIONS & SKILLS REQUIREMENTS
· Bachelors in social sciences or related field in alignment with the relief and development sectors;
· A minimum of 3-5 years of reporting and program experience in the INGO/Humanitarian field;
· Familiarity with ECHO, USAID, DFID, EC, ECHO, UN regulations; especially BPRM and ECHO rules and guidelines desirable;
· Experience in communication, reporting, documentation, publication in relation to the INGO/Humanitarian sector;
· Work experience in similar context preferably in Middle East;
· Excellent written and spoken English skills;
· Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently;
· Experience in emergency response and conflict/IDP setting desired.
· This position will require a demonstrated ability to achieve results in a demanding and fast paced environment.
