ICNL is seeking a Grants Assistant to support the management of subawards and contracts to ICNL’s partners in over 80 countries. ICNL works to advance civil society, philanthropy and human rights around the world. This position is a great opportunity to work with an international organization and to learn all aspects of subgrant management, including pre-award assessment, oversight of subgrantee financial reporting, compliance with ICNL policies and procedures, and compliance with donor rules and regulations. The position is full-time and based in our Washington, DC office. The Grants Assistant reports to ICNL’s Finance Director. Responsibilities
Among other responsibilities, the Grants Assistant:
· Supports program staff in preparing solicitations, evaluating grant submissions for technical and budget soundness and compliance with donor regulations, and recommending awards.
· Conducts pre-award risk assessment surveys and drafts risk determination findings.
· Works with program staff to finalize grant agreements and budgets.
· Reviews subgrant packet for completeness and compliance with ICNL policies; documents that award procedures have been met for all grants and contracts.
· Maintains grant and contract documentation; develops and maintains a database of all grantees and contractors.
· Liaises with grantees and contractors on financial issues. Trains new subgrantees on the reporting process; reviews grantee financial reports and makes recommendations for improved reporting; reviews budget modifications.
· Identifies unusual transactions and potential problems and recommends solutions.
· Reconciles subgrantee cash balances to ICNL’s records; enters subgrant related transactions into the accounting system: encumbrances, accounts receivable, accounts payable, journal vouchers, etc.
· Assists with closing grants and contracts upon project completion; reviews subgrantee audit reports; confirms that all requirements have been met and settles final payments.
· Assists with other Finance Office duties, such as accounts payable, reviewing trip expense reports, preparing cost proposals and other duties as assigned.
Qualifications
REQUIRED SKILLS AND QUALIFICATIONS
· A university degree in accounting, financial management, or a related field; · 1-2 years of professional experience in nonprofit accounting or finance;
· Superior administrative and organizational skills and attention to detail;
· Able to work independently, set priorities and show initiative;
· Excellent English writing and communication skills;
· Proficiency in Microsoft Word and Excel; and
· Legal authorization to work in the United States.
PREFERRED SKILLS AND QUALIFICATIONS · Experience with budgeting and grant management;
· Experience with budgeting and accounting software (Adaptive, Abila MIP);
· Experience working in multinational teams and on complex projects; and
· Familiarity with US Government grant rules and regulations.
