Budget Preparation and Adjustments

  • Create budgets and budget narratives for new government and foundation grant proposals in coordination with program staff
  • Prepare and submit government and foundation grant budget adjustments
  • Support organizational budget creation

Financial Analysis and Reporting

  • Prepare and analyze grant financial reports and distribute and interpret financial information
  • Ensure timely and accurate processing of grant-related billings and collections
  • Prepares monthly, quarterly, and year-end financial reports for funders
  • Work with program directors to prepare spend plans and grant forecasts

Financial Grant Compliance

  • Verify grant expenses, interpreting whether the expense is appropriate and allowable within the grant conditions as well as whether the funds are available within the remaining grant budget
  • Liaises with program and development staff to ensure restricted funds are used in accordance with donor intentions or appropriate modifications are requested
  • Assists in the maintenance and analysis of staff allocations
  • Attend grant site visits as the expert on the grant budget, and provide financial documentation requested by the grantors
  • Support the Finance Director for audits, providing documentation and drafting responses to audit questions

Mentorship, Training & Support

  • Mentor new grant leads, directors, and new supervisors on grant finances and expenses
  • Grow the knowledge and understanding of grants and grant financials across the organization
  • Communicate regularly with directors and managerial staff to provide guidance and customer service around short- and long-term financial management and sustainability-related to grants
  • Help Program Directors and managerial staff communicate effectively with the grantors on grant-related financial matters

Additional Responsibilities

  • Pursue additional training in grant management requirements/regulations, as needed.
  • Perform administrative tasks as needed (maintain grant files, document destruction, etc.)
  • Other financial projects/tasks as assigned

Requirements

Education/Experience:

• Minimum three years progressive experience in grants and/or budget management and financial analysis in a non-profit setting.

• Experience with government grants is highly desired.

Technological Skills:

• Knowledge of financial reporting software, and experience with Sage Intacct, Certify and Paylocity preferred.

• Experienced computer user familiar with Microsoft Office applications; advanced Excel skills mandatory.

  • Systematic and highly organized, with the ability to oversee compliance on multiple grants with different requirements and keep them straight

  • Ability to effectively communicate and mentor programmatic (non-financial) staff about grant finance
  • Excellent critical-thinking and creative problem-solving skills
  • Ability to effectively prioritize and manage several projects at once, such as projections, budgets, existing grant compliance and new grant applications
  • Enthusiasm for building and growing Ayuda’s grants portfolio

SALARY AND BENEFITS:

The salary is commensurate with experience and comes with a robust benefits package that includes medical and dental insurance, long-term disability insurance, life, and AD&D insurance as well as an employer-provided retirement match. All federal holidays are observed, and Ayuda offers paid leave for the week of Christmas through New Year’s Day. This position is exempt for overtime purposes.
