Job Summary/General Purpose of Job
Performs administrative and office/staff support activities for the IT Department of the ABA. Responsibilities include processing of IT purchase requests (goods and services), which includes obtaining bids and proposals and processing contracts and invoices. Additionally, assists in reconciling actual spend to budget as well as coordinating the annual budget process for IT. Also provides staff and volunteer support by making travel and meeting arrangements, processing expense reports, taking meeting minutes, and other administrative duties as assigned.
Essential Job Functions and Responsibilities
-Processing of IT purchase requests, invoices, and obtaining the requisite approvals per current ABA policies.
-Assists IT staff with posting RFPs, aggregating vendor responses, and completing required internal documentation required by Procurement -Possesses strong Excel and financial acumen, with the ability to update and manage complex spreadsheets, as well as submit financial information as needed (accruals, budgets, etc.)
-Assists with meeting planning and catering for the Standing Committee on Information Technology 2-3 times per year. Takes minutes of committee meetings and distributes them accordingly.
-Analyzes and identifies operational and process-oriented problems and proposes solutions while ensuring controls are still met.
-Acts as IT content owner by assisting in maintaining the IT Intranet content and posting important IT updates as part of staff communication.
-Performs other related duties as required.
Required Education, Qualifications, Experience
-Associate’s degree or equivalent experience (3+ years of previous administrative experience, some post-high school course work or completion of an appropriate vocational program).
-Thorough knowledge of Microsoft Office Products and basic internet research skills.
-Must be able to multi-task and must be well-organized
-Strong financial skills and understanding are required, as well as strong communication skills. Also calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal and external contacts.
-Additional education may be substituted for years of work experience.
Preferred Education, Qualifications, Experience
-Prefer 2 years’ related administrative experience.
