Job Description (Roles and Responsibilities)
Main purpose of job:
The primary responsibility of this role is to provide administrative, coordination and management support to the Consular Regional Director and the Sub-Saharan Africa Consular Network. The jobholder will support weekly Regional Management Board (RMB) calls with the Consular Regional Director, Consular Regional Managers and Consuls, and help deliver at least five regional conferences and events per year. The role also includes preparing data-driven reports for the RMB to assist with decision making, supporting budget processes, coordinating learning and development activities, and contributing to wider network priorities as required.
The successful candidate will also work closely with colleagues across the Sub-Saharan Africa network in support of ensuring excellent delivery of consular services.
Roles and responsibilities:
Logistics – 30%:
- RMBs
- Regional conferences
- SSA conference
- Ad hoc workshops
- Coordinating CRD travel plans
RMB Secretariat – 30%
- Manage weekly RMB Meetings
- Setting agenda, take minutes, noting actions, following up on previous actions
- Arrange in person RMB meetings
- Manage forward look for RMB meetings/conferences
- Lead on producing agenda
Information management – 15%
- Managing the RMB Channel and SSA Consular Hub
- Data-driven quarterly reporting on regional performance against the SSA business plan and KPIs
- Maintain/update the SSA Hub
Budget – 10%
- Ensuring that all necessary financial processes are done in due time & accurately (especially in relation to conferences and workshops)
- Monitor Regional Resilience Network spend
L&D (Learning & Development) – 7%
- Maintain induction packs/ job descriptions
- Maintain skills audit
- Update L&D links and info regularly
Wellbeing coordination – 3%
- Coordinating wellbeing sessions between posts and London
RRN and bonus admin – 5%
- Managing the regional resilience list & deployment
- Managing the bonus pot
Essential qualifications, skills and experience
- Excellent IT and numeracy skills, including Excel and AI (Copilot or similar) with at least 3 years
- Experience in business administration with a minimum of 3 years
- Minimum of 3 years experience of delivering events or conferences
- Good organisational skills – a proactive and motivated self-starter
- Excellent communication skills; a “can do” team player.

The British High Commission pays in full for the Key Care Plus option on Discovery Health for staff including their spouses/partners and dependants.
- After successful completion of probation the British High Commission will contribute 9% of your monthly salary to a Provident Fund.
