The British High Commission in Canberra is the HQ at the centre of our five-post Australia Network (comprising Sydney, Melbourne, Perth and Brisbane). You will join a team of around 140 passionate and enthusiastic colleagues, representing more than ten different UK Government functions and departments. You will contribute to the delivery of the UK-Australia relationship across a wide range of policy and operational areas, including security and defence, trade and prosperity, consular support, law enforcement, foreign policy, and science and technology. Not to mention the cricket and football.
We are seeking a highly organised, proactive Administrative Officer to join the Private Office of the High Commissioner and Deputy High Commissioner. This part‑time role, based in Canberra, provides essential administrative and organisational support, helping ensure senior leaders can deliver their priorities effectively.
This is a fast‑paced environment where excellent attention to detail, sound judgement, and the ability to manage competing demands are critical. You’ll be part of a supportive team committed to professional development and high‑quality service.
Roles and Responsibilities
- Finance: Maintain accurate records of the High Commissioner and Deputy High Commissioner’s travel and miscellaneous expenses. Reconcile and submit expense reports.
- Travel: Book flights, accommodation, and related travel requirements. Keep clear, transparent records of travel spend. Support with the preparation of travel itineraries.
- Inbox Management: Support the management of the Private Office and General Enquiries shared inboxes. Triage queries to relevant teams and draft responses where appropriate.
- Correspondence: Work with the Diary Manager to coordinate appropriate responses to invitations and comply with protocol requirements.
- Information and Record Management: Support the Private Office in maintaining accessible and accurate digital files in line with government standards. Facilitate information sharing across the Network.
- Administration & Office Support: Take meeting notes, support with visit packs, arrange internal calls, manage office supplies, help with any urgent IT/tech issues. Contribute to continuous improvement of administrative processes. Support other ad hoc tasks as required.
- Events and Visit Support: Assist the Events Coordinator with sending invitations, RSVP tracking, dietary requirements, and event logistics. Support official visits and receptions as needed.

The Australia network offers a wide range of learning and development opportunities, including job-specific training and broader learning delivered through the FCDO’s International Academy. Some learning is mandatory and will mostly be delivered through on-line e-learning courses.
The successful applicant will be encouraged to take part in broader British High Commission initiatives and activities.
