The British Embassy in Warsaw is part of a worldwide network representing British political, economic and consular interests overseas and is now looking to recruit an Economic Diplomacy Support Officer and a Public Diplomacy Support Officer.

The Economic Diplomacy Support Officer, will play a key role in one of the largest and most dynamic teams at the Embassy. Reporting directly to senior management, the job holder will support the Embassy’s Economic Diplomacy team in advancing UK-Poland economic policy objectives. The role involves providing administrative, project, analytical, and event coordination support to deliver the UK’s economic diplomacy priorities.
The ideal candidate should be a proactive self-starter who is able to collaborate and coordinate across multiple teams and policy portfolios in order to support the wider team’s work including climate, energy, macro economics, agriculture, industry, infrastructure, tech, health, trade policy, market access, science and innovation.
The Public Diplomacy Support Officer be responsible for providing programme and administrative support to the Internal Political and Soft Power Team. The role of the team is to analyse and interpret social and political developments within Poland, as well as supporting the Embassy’s efforts to strengthen people-to-people links between the UK and Poland. The post holder will also lead on designing and implementing the senior team’s regional engagement across Poland, as well as leading on financial and administrative aspects of the team’s programme delivery. They will provide secretariat support to the Embassy programme board and act as a project/programme coordinator. There will also be opportunities to take on broader responsibilities should the candidate wish and a degree of flexibility will be required to work across teams in the political and communications section as needed to support the section’s agility.
What Success Looks Like for the Economic Diplomacy Support Officer:
- Project & Administrative Support
– Provide administrative support for the wider team including managing internal meetings.
– Provide project management and project support.
– Support procurement and budget tracking for team activities.
- Event & Visit Coordination
– Organise economic diplomacy-related events, roundtables, and high-level visits.
– Handle logistics, invitations, and follow-up reporting.
- Stakeholder Engagement– Liaise with Polish government bodies, business associations, and UK stakeholders to facilitate projects, meetings and events.
– Create and maintain contact databases and track engagement outcomes. - Policy & Analysis– Assist in monitoring and reporting on Polish economic issues.
– Support briefing preparation for senior officials and visiting ministers.
What Success Looks Like for the Public Diplomacy Support Officer:
- Lead organisation of the senior team’s regional engagement
– You will be responsible for designing and delivering the Ambassador’s, Deputy Ambassador’s, and other members of the senior team’s regional visits to each of Poland’s 16 voivodships.
– You will have the autonomy to generate ideas, organise the programmes, coordinate briefing, accompany during the visits to ensure effective delivery, and providing insightful post-visit reports. - Support for events delivery
– Supporting organisation of the Internal Political and Soft Power Team’s events. We organise several smaller and larger scale events throughout the year, both at the Embassy and externally.
– Manage organisation and logistics, liaise with suppliers, negotiate service delivery and help to coordinate activities on the day.
– You will also contribute your own ideas, ensuring that our events are high impact, and play an important role in problem-solving any challenges. - Coordinate and support for Embassy projects
– The Embassy has a number of projects with a range of Polish Non-Governmental Organisations. Depending on the nature of the programme, you will be responsible for liaising with implementing organisations and helping to ensure that project delivery remains on track and in line with Embassy objectives. Examples of our programmes include gender equality and soft power projects, and cultural diplomacy. - Provide secretariat function to Embassy Programme Board
– You will be a project/programme coordinator and champion, providing advice and assistance to other members of the Embassy running projects on the process and administration for projects.
– For the Embassy Programme Board, you will coordinate the tracking and forecasting for the Embassy projects, working with the Chair of the Programme Board on the governance of the Embassy’s projects.
– Work with the regional programme lead for Europe as a contact point for the Embassy on projects. - Provide broader administrative and financial support to the Internal Political and Soft power Team
– Act as a support for the broader team in providing administrative and financial management support. This includes key tasks such as processing payments for our delivery partners, conducting due diligence assessments, working on contracts and other support functions.
Role core hours may occasionally fall outside of normal office hours, if travelling to support events. Hours will be flexible to accommodate this work requirement.

- Full professional proficiency in English (written and spoken, minimum C1 level under CEFR).
- Degree in Business Management, Economics, International Relations, Political Science Public Policy, Communications, or a related field.
- Proven experience in supporting and delivering projects
- Strong organisational and communication skills;
- Good time management skills and ability to deal effectively with multiple tasks;
- Experience in events management and budget management;
- Proven organisational and administrative skills;
- Strong interpersonal and effective communication skills through telephone, correspondence, and face-to-face contact;

- Proven IT competence with the full Microsoft Office package and ideally knowledge (or a willingness to adopt) AI.

This is a full time fixed-term position of 5 days (37.5 hours net) per week, from Monday to Friday, for the period of 1 year, with the possibility of renewal.
The salary for this position is PLN 8,955 gross per month.
Other benefits:
- Working hours are flexible.
- Staff are entitled to time-off-in-lieu for agreed extra hours worked.
- The annual leave entitlement is 20 or 26 days per year pro rata.
- The Embassy also enjoys a maximum of 14 Polish/UK public holidays per year.
Please note that staff members are responsible for paying any income tax required by the local law.
The successful candidate will be subject to reference checks and the satisfactory completion of a probationary period of three months.
Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Working patterns: The British Embassy Warsaw has a strong commitment to work/life balance. Standard office hours are 8.30-16.30 with flexi-hours possibility within the opening hours 8.00-18.00. We also have mobile technology and offer hybrid working with remote working days to be agreed with Line Managers.
This role offers the possibility of hybrid working, combining time in the office with working from home, depending on operational requirements. Please note that during the probationary period, the role will be office‑based only.
This role includes a reserve period of 12 months. If a similar role becomes available during this time, appointable candidates may be considered in merit order without the need to reapply.
